Job description:

This position plays a key role in progressing the Department of Justice’s capital infrastructure program by coordinating the procurement, financial management, and installation of Furniture, Fittings, and Equipment (FF&E) for major projects, while also contributing to the development and implementation of long-term contracts to support project delivery.

Period of Appointment

Fixed term for 3 (three) years

Hours per fortnight

73.50 hours per fortnight - flexible options available. 
This position can be in Hobart, Devonport or Burnie. 

Duties

  • Coordinate and manage all aspects of the FF&E component of capital projects, including procurement processes, financial monitoring, and the delivery and installation of furniture.
  • Coordinate FF&E procurement activities, including market research, preparation of tender documentation, and supplier engagement, while maintaining accurate records of procurement decisions, quotes, and communications.
  • Prepare high-level project and procurement documentation in alignment with relevant State Government and Departmental policies, procedures, and guidelines.
  • Develop and maintain detailed FF&E schedules and specifications including tracking the delivery and installation of FF&E items, ensuring compliance with project timelines, work health and safety and quality standards.
  • Lead the development and establishment of contracts, including long-term service delivery contracts for furniture and equipment, consultancy contracts for specialist services and assist in drafting scopes of work, evaluation criteria, and contract documentation.
  • Establish and maintain cooperative and collaborative relationships with staff, management and other key stakeholders, ensuring the provision of high-quality client-focused services to support achievement of the objectives of the Capital Programming and Delivery program.
  • Coordinate and oversee the delivery of key project management activities including the delivery of minor works projects and contract management.
  • Contribute to risk management, quality assurance, and continuous improvement initiatives for the Strategic Infrastructure Projects team.
  • The incumbent can expect to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualifications and experience normally expected from persons occupying positions at this classification level.

Desirable Requirements

  • Relevant tertiary qualifications.
  • Understanding of Prison and Court operations and broader justice system, or ability to quickly acquire such knowledge.
