Job description:

To provide high level administrative support to the Victims of Crime Assistance in relation to the administration of the Unit, and Victims of Crime Assistance (VoCA) database.

Hours per fortnight

73.50 hours per fortnight - flexible options available. 

Duties

  • As the initial point of contact for Victims of Crime Assistance, provide a professional telephone and reception service that includes triaging and referrals, directing and assisting members of the public in varying states of distress and dealing with enquiries from external stakeholders.
  • Processing VOCA applications including overseeing, registering and compiling information on files that is sensitive and highly confidential, and often conflicting or missing crucial information. This involves requesting documentation from external professional bodies, accessing various databases used by numerous parties, tracking payments and determining the data to be included in the VOCA database. 
  • Maintain the office filing system (general and personal files) in a timely and efficient manner and perform general clerical duties and undertake archiving of files and off site storage.
  • Undertake high level administrative functions associated with the day-to-day operations of the Output including: 
    • The payment of invoices, arranging travel, stationery ordering and coordinating petty cash for Hobart,
    • Processing inward and outgoing mail and undertake correspondence as required.
    • High level data entry skills with high level accuracy required.
  • Maintain registers and databases used by Victims of Crime Assistance. 
  • The incumbent can be expected to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualification and experience normally expected from persons occupying jobs at this classification level.

Desirable Requirements

  • Possession of a current drivers licence

Pre-employment (National Police Record) checks for: Arson and fire setting, violent crimes and crimes against the person, sex-related offences, drug and alcohol related offences, crimes involving dishonesty, deception and/or conspiracy, making false declarations, malicious damage and destruction to property, serious traffic offences, crimes against public order or relating to the Administration of Law and Justice, Executive or the Legislative Power.
  2. Disciplinary action in previous employment.
