Job description:

The position contributes to the efficient and effective operation of the Commission by the provision of efficient, effective executive and administration services to the Office of the Chief Executive.

Hours per fortnight

73.50 hours per fortnight - flexible options available. 

Duties

  • Act as the Commission’s liaison/conduit with relevant service providers, both within Government and externally.

  • Manage the operation of the Office of the Chief Executive with minimal direction, and the efficient flow of information to and from the Office, including the management of correspondence (recognising the highly confidential and sensitive nature of much of the work).

  • Provide and coordinate specialist high level executive and administrative support to the Chief Executive, including the production of quality documents, management of diaries, visitor reception, telephone screening and travel and meeting coordination.

  • Provide high-level executive support for the Chief Commissioner and Agency Executive and other committees as required, including the preparation and distribution of meeting papers, minute taking, and monitoring of follow up actions.

  • Act as the first point of contact for the Chief Executive Officer and undertake high level liaison with senior government officers, statutory office holders, Ministerial Offices, external organisations and the public.

  • Manage the suite of the Commission’s Policies noting that the relevant business unit Director retains ownership and responsibility.

  • Provide administrative support in relation to lobbying oversight.

  •  Act as administrator and provide training in relation to the Commission’s information management system.

  • Act as back up administrator and provide training in relation to for the Commission’s complaints and oversight information and case management system.

  • Undertake other tasks as directed by the Chief Executive Officer.

Pre-employment Checks and essential requirements

The Head of State Service has determined that the person nominated for this vacancy is to satisfy a pre-employment check before taking up the appointment, promotion, or transfer.

The following checks are to be conducted:

  1. A security vetting process to obtain Baseline security clearance (access to classified information and resources up to and including PROTECTED). This process requires the Australian Government Security Vetting Agency to collect personal information to assess suitability. Australian citizenship is a requirement of security vetting.
  2. A pre-employment check about any disciplinary or managerial action in any previous employment.
  3. Identification check.

Desirable Requirements

A tertiary qualification relevant to Business Administration or other relevant discipline.

Experience working in or with the public sector, particularly in executive support positions.
