Job description:

To provide high level clerical and administrative services that support the Office of the Ombudsman and Health Complaints Commissioner.

Hours per fortnight

73.50 hours per fortnight. 

Duties

  • Provision of professional, accurate and confidential administrative support to staff of the Office of the Ombudsman and Health Complaints Commissioner.
  • Act as the first point of contact for the Office of the Ombudsman on telephone calls and in person, along with providing advice in accordance with relevant legislation and procedural guidelines as necessary.
  • Coordinate correspondence for all jurisdictions, including maintenance of the incoming mail register and filing of incoming correspondence, both electronic and physical filing.
  • Data entry of highly confidential complaint and enquiry information into a case management database and extract reports as required. 
  • Assist staff with the use of case management software including maintenance of files.
  • Undertake high level administrative functions associated with the day-to-day operations of the office including the processing of accounts payable, arranging travel, stationery ordering and coordinating petty cash.
  • Assist in the preparation, maintenance and implementation of relevant procedural documentation.
  • The incumbent can be expected to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualification and experience normally expected from persons occupying jobs at this classification level.

The Head of State Service has determined that the person nominated for this vacancy is to satisfy a pre-employment check before taking up the appointment, promotion or transfer.

The following checks are to be conducted:

  1. Pre-employment (National Police Record) checks for: Arson and fire setting, violent crimes and crimes against the person, sex-related offences, drug and alcohol related offences, crimes involving dishonesty, deception and/or conspiracy, making false declarations, malicious damage and destruction to property, serious traffic offences, crimes against public order or relating to the Administration of Law and Justice, Executive or the Legislative Power.
  2. Disciplinary action in previous employment.
  3. Identification check.
