Mississippi State University is seeking a Business Coordinator to support budgeting, purchasing, and financial reporting activities that ensure effective management of departmental funds, grants, and operations. The role also includes providing administrative support for projects and training initiatives, maintaining financial records, coordinating vendor and purchasing processes, and assisting with budget preparation to strengthen operational efficiency, compliance, and the overall impact of programs and services.

Salary Grade:  12/13 depending on rank

Department Profile:

The Center for Advanced Vehicular Systems Extension (CAVS-E), headquartered in Canton, MS, maintains a strong interaction with industry and is focused on providing engineering services to manufacturing-based industries. Major activities include teaching professional development workshops, conducting on-site projects and technology transfer. The Center's ultimate objective is to assist the state in technology based economic development through projects and training with MS companies.

Essential Duties and Responsibilities:

1. Reconcile and assist with fiscal administration for the department/unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing; may assist with fiscal planning, including participating in seeking alternate sources of funding.
2. Maintain an efficient system of receiving, posting, and depositing revenue and receiving, verifying, posting, and processing vouchers for payment of goods and services.
3. Prepare requisitions for purchases; communicate with vendors for prices, bids, and other information.
4. Prepare journal entries to record income, expenditures, interest, fund transfers, encumbrances, etc.
5. Transfer funds between accounts following established guidelines.
6. Prepare various accounting schedules, statements, and reports for monthly and annual reporting.
7. Reconcile division financial records with university accounting records.
8. Gathers data for budget preparation and inventory reports; prepares or assists in the preparation of the annual budget, and procures all supplies, furniture, and office equipment.
9. Maintain files and records in support of accounting data.
10. Provide administrative support in the facilitation of training workshops at EMCC Communiversity
11. Perform related duties as assigned.

Minimum Qualifications:

Level I High school diploma and one year of experience directly related to the duties and responsibilities specified.

Level II High school diploma and four years’ experience directly related to the duties and responsibilities specified. For promotions, experience must include at least three years at the preceding level.

Level III High school diploma and seven years’ experience directly related to the duties and responsibilities specified. For promotions, experience must include at least three years at the preceding level.

Senior High school diploma and ten years’ experience directly related to the duties and responsibilities specified. For promotions, experience must include at least three years at the preceding level.

Preferred Qualifications:

1. Bachelor’s degree in accounting or business.
2. Experience in fund accounting.

Knowledge, Skills, and Abilities:

• Knowledge and previous experience using spreadsheet software program.
• Ability to operate computer keyboard and 10-key electronic calculator.

Working Conditions and Physical Effort

• Work is normally performed in a typical interior/office work environment.
• No or very limited exposure to physical risk.
• Occasional and/or light lifting are required, and nearly all work is performed in a comfortable indoor facility.
• Frequent - Externally imposed deadlines; set and revised beyond one’s control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; irregular hours may be anticipated; meeting of deadlines and coordination of unrelated activities are key to position.
• Vision requirements: Ability to see information in print and/or electronically.
