Job Summary:

The Graduate Enrollment Specialist is responsible for the processing of graduate applications, verification of students’ academic history, program entry dates, and ensuring accurate recording of student information in the Banner System. This position is also responsible for evaluating international transcripts, admissions decisions for programs waiving review for unconditional admissions; preparation, processing and distribution of decision letters and ongoing communications with academic programs; end-of-the-semester reporting and processing of conditionally admitted students; and evaluation of unencumbered licensure for nursing applicants. These responsibilities require independent decision-making and supervisor skills. This position serves as the initial point of contact for staff, faculty, students, and other constituencies; responds to routine inquiries; and disseminates information about the services offered by the Graduate School. The Graduate Enrollment Specialist attends graduate student recruiting fairs, tabling opportunities, and other recruiting/public relations events as needed, representing JSU Graduate Studies. The individual selected for this position will assist with developing social media campaigns and/or communication plans for the Graduate School.

Duties and Responsibilities:

  • Responds to routine inquiries and disseminates information about the services offered by the Graduate School.
  • Provides support to the Graduate School by serving as the initial point of contact for staff, faculty, students and other constituencies.
  • Assists in the compilation and coordination of data for reports.
  • Maintains communication (via email and telephone) with applicants concerning required documentation for the application process.
  • Uploads relevant application documentation for each student into the student’s Web Xtender file.
  • Provides support in preparing and distributing appropriate letters to students (e.g. Acknowledgement, Acceptance, Denial, Plans to Pursue, Enrolled, Good Standing, Background Check Letter, TC Expiring and Transient).
  • Verifies that all background screening processes are complete and results are acceptable for admission.
  • Processes Change of Major request forms
  • Assists in communicating with and forwarding completed student files to appropriate faculty/college, and/or State agency.
  • Maintains filing systems according to departmental protocol; verifies the accuracy of processed data.
  • Attends graduate student recruiting fairs, tabling opportunities, and other recruiting/public relations events as needed, representing JSU Graduate School.
  • Conducts international transcript evaluations.
  • Processes unconditional admissions for programs waiving departmental reviews.
  • Processes applications for all graduate programs for admissions.
  • Evaluation of unencumbered licensure for nursing applicants.
  • Performs other duties as assigned.

Required Minimum Qualifications:

  • high school diploma or equivalent
  • at least three (3) years full time equivalent experience in clerical or administrative support, and some experience involving electronic record keeping
  • valid drivers license

Preferred Qualifications:

  • Bachelors Degree
  • Experience in higher education, specifically in admissions, enrollment, or graduate education
