About the Position

Under the supervision of the Director of Planning, Design, and Construction (PDC), the Design and Document Specialist position is responsible for preparing design and construction drawings for capital improvement, infrastructure, deferred maintenance, and special event projects. This position performs a wide range of complex drafting assignments from minor design work to modification of construction documents. The Design and Document Specialist must have enough experience to understand and analyze architectural and construction documents and understand how buildings are generally designed and constructed. This position also manages the campus inventory of plans, specifications, and project archives in both hard copies and electronically based on the campus standard filing system.  

Responsibilities

Prepare drafting work for projects and special events:

  • Create drawings and specifications for minor capital and campus user-requested projects. 
  • Field measure existing site and building conditions. 
  • Prepare drawings, renderings, and other presentation materials using AutoCAD, BIM modeling, and PowerPoint.
  • Create drawings for special campus events by working closely with the project manager and special events coordinator.
  • Assist in coordinating plan approvals with the Office of State Fire Marshal and appropriate permitting agencies. 

Coordinate and prepare project documents and archives:

  • Ensure project documents are filed both hard copies and electronically and in accordance with the campus standard filing system. 
  • Serve as the go-to person for hard copies and electronically archived files needed by project managers, facilities personnel, consultants, contractors, and related agencies. 
  • Assist in developing and updating campus standards.
  • Review plans, specifications, and submittals for consistency.

Coordinate minor projects and campus signage:

  • Coordinate minor projects with campus users, consultants, contractors, and facilities personnel.  
  • Perform an annual review and tracking of campus signage inventory and update as needed. 
  • Coordinate signage design, procurement, and installation.

Coordinate and update campus floor plans:

  • Review completed projects by external contractors and in-house staff and update campus floor plans annually or as needed. 
  • Field measure, verify, and document existing site, building, and space conditions.
  • Update and maintain campus floor plans, site plans, and other plans such as infrastructure, fire truck routing, ADA routes, and evacuation plans. 

Other duties as assigned. 

Minimum Qualifications

Experience:

  • Equivalent to four years (4) of progressively responsible drafting experience including two years at the journey level preparing complete design and construction drawings for minor construction projects of for modification of existing structures or systems.

Education:

  • Associate of Arts degree or equivalent with extensive coursework in drafting technology, engineering or a related discipline.
  • One year of specialized drafting experience, which has demonstrated that the applicant has acquired and successfully applied the fundamental knowledge and abilities of a draftsperson, may be substituted for the required education.

Knowledge and Abilities:

  • Comprehensive knowledge of the drafting methods, materials, techniques, instruments and symbols used in architectural, mechanical, civil and electrical drawings.
  • General knowledge of engineering mathematics; thorough knowledge of the calculation of difficult dimensioning, and the methods used in quantity estimating.
  • Working knowledge of the various materials used in building construction.
  • Working knowledge of the laws, ordinances and other regulations applicable to building construction, maintenance and repair.
  • Ability to make engineering calculations; plot drawings from field notes.
  • Work independently and complete difficult drafting assignments; legibly and accurately draft detailed architectural renderings, drawings and design.
  • Analyze space requirements; use a transit and level and perform surveying related to simple land leveling.
  • Make clear and concise oral and written reports.
  • Plan and direct the work of others.
  • Ability to lead others.
  • Acquire rapidly a general knowledge of the building codes of the State of California.
  • Establish and maintain cooperative working relationships with staff, faculty, students and others.

Required Qualifications

  • Experience in preparing complete design and construction drawings for minor construction projects.
  • Experience legibly and accurately drafting detailed architectural renderings, drawings, and designs.
  • Knowledge of drafting methods, materials, techniques, instruments, and symbols used in architectural, mechanical, civil, and electrical drawings; well-versed in the latest version of AutoCAD; BIM Modelling is a plus.
  • Knowledge of engineering calculations, plotting of drawings from field notes, and working independently, to complete complex drafting assignments.
  • Knowledge of complex dimensioning and calculation methods to estimate materials needed on projects.
  • Working knowledge of the laws, ordinances, and other regulations applicable to building construction, maintenance, and repair.
  • General knowledge of the building codes of the State of California.
  • Knowledge analyzing space requirements
  • Ability to use transit and level and perform surveying related to simple land leveling.
  • Ability to produce clear and concise oral and written reports and plan and direct the work of others.
  • Ability to communicate effectively and provide updates on active project progress
  • Ability to work in a diverse environment and establish and maintain collaborative working relationships with staff, faculty, students, consultants, and contractors. 

Special Conditions

  • Some duties may require working after normal business, including weekends, to meet the project schedule requirements. 
  • Some off-site travels to attend meetings, conferences, and training programs.

 Condition(s) of Employment

Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
