Major Duties

Under general supervision of the Director of Student Outreach and Recruitment, the Administrative Assistant provides general office support to the department and serves as the primary front counter receptionist, working closely with student assistants at the front desk. The incumbent performs regular administrative and clerical duties, including receiving and screening phone calls, taking messages, and referring inquiries to the appropriate campus unit.

  • Schedules counseling appointments with an available Outreach Counselor, and works closely with the Office Manager, ensuring deadlines are met and clerical support is provided where needed.
  • Responsible for covering the front reception area, ensuring doors are open by 8:00 a.m. and that the Testing kiosk is set-up, charged, and shut down daily, taking care to manage cables and special cords.
  • Maintains priorities and deadlines for assisting in clerical support needs as established by the Office Manager, and prepares reports and proposals by assembling available materials and utilizing background information.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.

 

Knowledge, Skills, & Abilities

  • Thorough knowledge of correct English grammar, spelling, and punctuation; and office methods and basic filing systems procedures and practices.
  • Ability and specialized skills to: organize, coordinate, and prioritize multiple tasks; learn, identify, and independently interpret and apply a variety of complex policies and procedures; review and resolve routine clerical problems.
  • Ability to work in a busy environment with frequent interruptions; communicate effectively both orally and in writing; prepare and draft memoranda and correspondence; keep moderately complex records and files; establish and maintain cooperative working relationships; operate standard office equipment, and software.

 

Pay, Benefits, & Work Schedule

  • Classification: Administrative Support Assistant / 1032 / 2
  • The anticipated HIRING RATE is $3680 per month. The salary range for this classification is: $3680 - $5417 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
  • This is a Temporary position; end date to be determined.
  • The individual hired for this role will physically work on-campus in Northridge. This is not a telecommute position.
