Major Duties
Under general supervision, the Administrative Assistant for Business Services coordinates main office activities by ensuring exceptional front-line customer service, administrative support, and operational excellence. Oversee student staffing, including recruitment, onboarding, training, scheduling, and evaluation. Manage purchasing transactions such as maintaining open purchase orders, processing direct pay invoices, and monthly reconciliation. Review and process housing contract extension requests, working closely with campus partners and stakeholders. Regularly monitor off-campus housing applications, ensuring database accuracy and initiating periodic data clean-up. Provide comprehensive administrative support to Business Services and contribute actively to maintaining accurate web content and departmental communication.
- Acts as front-line representative of Student Housing for students, staff, and visitors via email, phone, or face-to-face.
- Facilitates recruiting, hiring, training, onboarding, and evaluation of 3-6 main office student assistants.
- Creates and maintains open purchase orders, submits chargebacks and requisitions, processes direct pay invoices.
- Reviews contract extension requests to determine eligibility for extension.
- Reviews daily report of Off-Campus Housing Applications and ensures entries are posted timely to the search database.
- Performs other duties as assigned.

Qualifications
- Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
- Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.
- Bilingual in English and Spanish (spoken and written) is preferred.
- Experience working in a university or academic setting is preferred.
Knowledge, Skills, & Abilities
- Skill in delivering exceptional customer service and support, including effectively responding to inquiries via email, phone, and in-person with sensitivity, compassion, and confidentiality; applying policies and procedures independently to resolve issues creatively and efficiently.
- Ability to evaluate administrative, operational, and procedural tasks, provide clear training, coaching, and feedback, and develop and implement improvements and protocols to enhance front office efficiency and service excellence.
- Knowledge and ability to effectively facilitate the recruitment, hiring, training, onboarding, and performance evaluation processes for student assistants and support staff, ensuring continuous front office coverage and adherence to departmental standards.
- Skill in analyzing staffing needs, maintaining accurate payroll and attendance records, and proactively coordinating daily workflows, schedules, and compliance to enhance team efficiency, communication, and overall office functionality.
Pay, Benefits, & Work Schedule

- The anticipated HIRING RANGE: $3680 - $3864 per month, dependent upon qualifications and experience. The salary range for this classification is: $3680 - $5417 per month.
- HOURS: Full Time; 40 hours per week; Monday through Friday.
- This is a Regular position with a one-year probationary period.
- This is not a telecommuting position; the employee is considered essential personnel and is expected to report to campus during closures.
