Major Duties
Under general supervision, the Department Coordinator sits at the center of daily operations, supporting academic programs, faculty, and students across the Systems and Operations Management Department. The incumbent contributes to smooth office workflow, budget tracking, class scheduling, faculty onboarding, and website updates while serving as a go-to resource for questions and coordination. With exposure to academic planning, personnel processes, and student services, the role offers variety, visibility, and meaningful impact within a fast-paced academic environment.
- Acts as a resource for department leadership, faculty, students, and visitors
- Coordinates office workflow, procedures, and daily administrative activities
- Supports budget tracking, purchasing, reconciliations, and travel documentation
- Assists with class scheduling, enrollment monitoring, and student record verification
- Supports faculty recruitment, onboarding, and personnel documentation
- Maintains departmental websites and confidential records
- Coordinates student assistant assignments and payroll
- Provides operational continuity during staff absences and supports special projects as needed
- Performs other duties as assigned.

Qualifications
- Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity, exercising independent judgment and leading the work of others.
- Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience.
Knowledge, Skills, & Abilities
- Knowledge of administrative and operational practices within an academic or professional office environment, with the ability to serve as a resource to department leadership, faculty, students, and visitors; coordinate office procedures and workflow; plan, organize, and prioritize multiple projects; address issues proactively; and provide work direction to graduate and undergraduate student assistants.
- Knowledge of academic scheduling and student services processes, with the ability to prepare and update schedules of classes using SOLAR, monitor enrollments, verify student eligibility and prerequisites, issue permission numbers, manage departmental websites, and provide accurate information and guidance to students, faculty, and visitors.
- Ability to support fiscal and operational activities, including monitoring expenditures, reconciling departmental funds, processing requisitions and chargebacks, verifying travel authorizations and expense reports, and assisting with projects related to software acquisitions, while maintaining accuracy, attention to detail, and compliance with institutional policies and procedures.
- Ability to support faculty and personnel-related processes, including assisting with recruitment activities, preparing personnel action forms and requisition reports, maintaining confidential records, coordinating office access and security requests, composing correspondence and reports, and processing a variety of administrative and student forms with accuracy, discretion, and attention to detail.
Pay, Benefits, & Work Schedule

- The anticipated HIRING RATE is $4367 per month. The salary range for this classification is: $4367- $6362 per month.
- HOURS: Full Time; 40 hours per week; Monday through Friday.
- This is a Regular position with a one-year probationary period.
- The individual hired for this role will physically work on-campus in Northridge. This is not a telecommute position.
