Department Overview:

The UW-Madison School of Nursing is the leading nursing research institution in Wisconsin. Within the School of Nursing (SoN), Administrative Affairs is comprised of the following functional areas: human resources, finance, facilities management and IT. The Human Resources team provides support to faculty, staff and students across a broad scope of HR functional areas and works closely with other Administrative Affairs, as well as the Nursing Research and Sponsored Programs office. Under the supervision of the HR Associate Director and as part of the SoN Team, there will be opportunities for progressively increasing responsibility as you successfully complete the role and to possibly continue employment for the duration of your student career.

Schedule:

Availability in 2-hour blocks of time is preferred, during the hours of 8am-5pm.

Qualifications:

Applicants should be reliable, punctual, and able to work independently. Freshman or sophomore standing is preferred, but not required.

Knowledge, Skills & Abilities:

Well qualified applicants should have the following:

- Ability to maintain confidential information
- Proficiency in Adobe, Word, Excel, and PowerPoint required
- Effective written and oral communication
- Ability to work and problem-solve independently, without direct oversight
- Commitment to fostering a diverse and inclusive work environment

Position Summary/Job Duties:

Scanning, and File Maintenance:

- Maintain personnel files using ImageNow and other confidential materials.
- Link/index documents reliably for future retrieval.
- Prepare letters, such as salary notification letters, appointment letters, etc.
- Develop and maintain organization charts and other documents, as requested.
- Maintain electronic files on local shared drives.

Recruitment Assistance

- Develop and post recruitment advertisements.
- Maintain confidential search records.
- Review and audit files for completion.

Miscellaneous
- Assist with training others as needed.
- Complete special projects as assigned by HR staff of the Associate Dean for Administrative Affairs.
- Run reports and complete data, as requested.

HIPAA training will be required upon hire.
