The Opportunity
We are seeking a dynamic Executive Assistant/Team Coordinator to provide dedicated administrative support to our Global Chief Risk Officer. You will play a vital part in streamlining communication, coordinating meetings, and managing reporting processes for the executive team. You will be responsible for overseeing the seamless operation of day-to-day tasks, collaborating closely with senior managers and team members to ensure efficient workflows and prioritisation of activities. Your role will involve maintaining organisational databases, supporting team coordination, managing schedules, and ensuring all administrative functions run smoothly across the team.
What You’ll Do
- Provide high-quality, confidential administrative support to the Global Chief Risk Officer and the Risk and Audit team, including managing calendars, scheduling appointments, and organising meetings and travel arrangements.
- Serve as the primary point of contact for internal and external stakeholders, ensuring clear communication and effective meeting coordination.
- Prepare agendas, compile briefing materials, take meeting notes, and track follow-up actions. Draft, proofread, and refine correspondence, reports, presentations, and other documents.
- Proactively prioritise and manage tasks to support the smooth operation of the Risk and Audit team, ensuring deadlines are met and priorities are adjusted as needed.
- Organise and coordinate meetings, workshops, events, conferences, and team-building activities, ensuring all logistics are handled efficiently.
- Build and maintain strong relationships with senior executives, internal teams, and external partners to facilitate the effective flow of communication.
- Assist in research, data collection, report collation and project management tasks to support key initiatives across the Risk and Audit team.
- Handle sensitive and confidential information with the highest level of professionalism, integrity, and discretion.
What You’ll Need
To succeed in this role, you will bring a blend of exceptional organisational skills, attention to detail, and the ability to thrive in a fast-paced environment. You will be proactive, self-driven, and able to manage multiple priorities while maintaining professionalism and composure. You will be an excellent communicator, both written and verbal, and adept at building relationships across all levels of the organisation.
- A minimum of 5 years of experience providing executive support to senior management or C-suite executives.
- Strong organisational skills with an ability to manage competing priorities and tight deadlines.
- Exceptional communication skills, both written and verbal, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced expertise in managing calendars, travel coordination, and document creation.
- Proven ability to work independently and take initiative to resolve issues and manage tasks effectively.
- Problem Solving: Proactive and resourceful, with the capacity to anticipate needs and resolve issues independently or in collaboration with others.
- Confidentiality and discretion in handling sensitive information and maintaining high levels of professionalism.
