Job Summary/Basic Functions

The Coordinator, Housing Assignments & Operations is responsible for coordinating the University's housing assignment processes and supporting the effective management of residential occupancy. This position oversees critical administrative functions including room assignments, billing, room changes, contract exemptions, accommodations, and re-contracting. Serves as the operational bridge between administrative systems, and front-facing student communications.

Additionally, this position assists with critical software and hardware integrations across key university platforms, including StarRez, Banner, and Slate. Leading strategic planning, data assessments, assisting with front-line customer engagement strategies, coordinating continuous student outreach, and participating in on-call rotation to address urgent operational issues to ensure seamless campus living experiences during academic terms, housing transitions, and summer camps.

The Coordinator, Housing Assignments & Operations provides exceptional customer service to students, families, faculty, staff, and campus partners. Working collaboratively with Housing & Residence Life staff and campus departments, this position exercises independent judgment in applying university policies and procedures to facilitate efficient housing assignment processes and deliver a seamless residential experience.

Minimum Qualifications

Education: Bachelor's degree required.
•Bachelor’s degree in business management, Public Administration, or related field required
•Master's preferred.

Experience: One year of experience in administration, college student housing, or other applicable fields. Experience in working with various Microsoft Office products, Banner, and StarRez preferred.

Job Duties:

  • 45% - Administrative Operations •Coordinate housing administration in StarRez, including housing applications, room assignments, room changes, contract renewals, accommodations, forms, and cancellations/exemptions for the general student population and special housing populations, including Athletics, Greek Life, Living-Learning Communities (LLCs), student staff, and other programmatic communities. •Oversee and coordinate housing-related billing processes associated with assignments, break housing, summer housing, camps, conferences, and facility-related charges by ensuring accurate information is maintained in StarRez, Banner, and other applicable systems. •Prepare and maintain operational housing reports, ensuring the accuracy and synchronization of data across StarRez, Banner, Slate, and other university systems to support occupancy management, demographic reporting, and billing. •Support the administration and ongoing functionality of StarRez and assist with system integrations involving Banner, Slate, bursar systems, access control, and automated communication platforms. Identify issues and collaborate with campus partners and vendors to resolve system and data concerns. •Lead administrative and logistical preparations for summer housing, camps, conferences, and other special housing programs. •Assist departmental leadership in maintaining StarRez standard operating procedures (SOPs), workflows, and process documentation, and provide training and support to Housing & Residence Life staff on system processes, housing assignment procedures, customer service expectations, and administrative workflows to promote consistent and efficient operations. - (Essential)
  • 25% - Student Communication & Customer Service •Manage and coordinate all student and family housing communications across email, phone, the housing portal, SMS, website content, and walk-in interactions to ensure timely, accurate, and consistent messaging throughout the housing assignment process. •Serve as a primary point of contact for student and family inquiries related to housing assignments, contracts, room changes, policy interpretation, appeals, and accommodation requests, resolving issues or referring them to appropriate staff as needed. •Provide exceptional day-to-day customer service by responding to housing inquiries, assisting students throughout the housing assignment process, and ensuring a welcoming, student-centered experience in the Housing & Residence Life office. •Collaborate with campus partners to communicate housing-related operational needs and support a positive residential experience for students. - (Essential)
  • 25% - Housing Communications & Operational Support •Partner with campus partners and Residence Life to support housing marketing and communication initiatives aligned with departmental goals and the student residential experience. •Assist with the development and coordination of housing communications, including website updates, housing placement timelines, application information, deadlines, process guides, and student-facing resources. •Maintain and update communication materials related to housing applications, room selection, assignments, room changes, contract renewals, and occupancy transitions to ensure accurate and consistent messaging across platforms. - (Essential)
  • 5% - Supports the office functions by completing all other duties and special projects as assigned •Attends meetings, training, and other events requested. •Offers to assist others in the department to effectively handle workload. •Cross-trains others and participates in cross-training to enhance skills. •Acts in compliance with contracts, laws, regulations, and University policies, procedures, and standards. •Completes special projects and other duties assigned. - (Essential)
