About the Position:
The Facilities Zone Supervisor is responsible for the supervision of facilities skilled trades employees in all phases of operation, maintenance, repair, and general service support for the assigned zone. The Facilities Zone Supervisor assists the Facilities Zone Manager in duties of planning and scheduling work assignments for the operation and maintenance of the assigned zone. This is a working supervisor and serves as the senior facilities management technician assisting as needed on-site to respond to emergency situations involving a broad range of HVAC, electrical/mechanical problems, and other emergencies such as snow removal.
Responsibilities:
Facility Maintenance/Operations:
Supervises and assists with the work of the Facilities Management Department for the assigned zone;
Effective use of the Computerized Maintenance Management System (CMMS), in scheduling, assigning, and providing information to trades technicians;
As a working supervisor, responsible for overseeing the work of all skilled trades employees in the zone, to ensure work is being completed on time and per procedures;
Provides pertinent updates to the Zone Manager and assists technician requests for assistance if needed on emergency, planned maintenance, and repair within the zone;
Ensures that zone work orders are assigned within one day and accomplished in priority order;
Ensures that PM's are accomplished on schedule;
Makes sure all work order documentation is correct before completion, and technicians are held responsible for handling their assigned work orders;
Ensures that any facility deficiency or scheduled maintenance that affects the Zone mission is communicated to applicable personnel;
Assists and conducts on-the-job training where appropriate;
Routinely inspects buildings and equipment to determine conditions and identify maintenance deficiencies and requirements;
Inspects contractual work to ensure compliance with proposals and specifications and conducts acceptance inspections;
Works with the Zone Manager in meeting with key customers to ensure the Zone responses are meeting their needs;
Inspects mechanical spaces at least weekly noting cleanliness and any deficiencies to equipment;
Inspects all facilities at least monthly;
Inspects completed work to ensure it's of high quality, completed in an efficient, economical, and timely manner, and in accordance with approved schedule and applicable codes or specifications; and
Ensures that deficiencies are noticed prior to customers in most cases.
Staff Supervision:
Responsible for setting goals for performance and deadlines in ways that comply with the university's plans and vision, and communicates them to subordinates;
Organizes workflows and ensures that employees understand their duties or delegated tasks;
Monitors employee productivity and provides constructive feedback and coaching;
Receives complaints and resolves problems;
Maintains timekeeping and personnel records;
Passes on information from leadership;
Prepares and submits performance evaluations;
Decides on rewards and promotions based on performance;
Hires and trains new employees; and
Ensures adherence to legal and university policies and procedures, and undertakes disciplinary actions if the need arises.
Other Related Duties as Assigned:
Supports the supervisor and department head in completing other related duties and reports as needed;
Performs duties as directed by the Zone Manager and snow operations coordinator; and
Employee is designated as “Essential Personnel.” All essential personnel employees are required to report for snow removal or other emergency when assigned. This may require reporting to work early, staying late, and/or working weekends.
Substantial experience (generally 5+ years) in the operation, maintenance, and repair of major mechanical equipment, HVAC and electrical systems, and experience in formal preventive maintenance programs;
Thorough operational knowledge of all types of major mechanical equipment normally found on a university campus, large commercial or office complex;
Thorough knowledge of troubleshooting and repair of commercial HVAC and energy management systems;
Knowledge of formal preventive maintenance, minor maintenance, and repair procedures;
Ability to read and comprehend maintenance plans and specifications;
Ability to effectively manage staff, develop good relationships with a wide range of people, and build a collaborative work environment;
Ability to solve problems in a strategic and tactical manner and use good judgment in making decisions;
Ability to manage time and schedule operations to maximize efficiency;
Ability to lift heavy equipment and comfortable standing or walking for long periods of time;
Ability to communicate effectively orally and in writing; and
Must currently possess an appropriate, active, valid motor vehicle operator’s license that meets all of GMU’s requirements for operating state vehicles and equipment under Mason’s Vehicle Use Policy 1411 https://universitypolicy.gmu.edu/policies/vehicle-use/. Preferred Qualifications:
Vocational or technical training in related field.
