Position Summary

Reporting to the Academic Affairs Chief of Staff, this program assistant provides administrative support to the Honors Program, Undergraduate Research Program, Office of National and International Fellowships, Center for Research on Global Engagement, and Lumen Prize. Core duties will include coordinating program logistics, scheduling meetings, organizing paper and electronic files, maintaining budget and participation records, supervising student workers, organizing program events, and communicating with the University community. Also, provides supplemental budgetary support for the Center for Design Thinking.

Minimum Required Education and Experience

A bachelor’s degree plus 1-3 years of relevant work experience and/or training or an associate’s degree plus 3-5 years of relevant work experience and/or training.

Job Duties

  • Monitors and reconciles departmental or program budget and tracks travel and office expenditures, including process payments and reimbursements, purchase requisitions, invoices, maintain and process monthly credit card records and payments
  • Plan and organize event logistics for events, including annual events and end-of-semester celebrations and hotel and transportation logistics for travel-based events. Also provide assistance for event planning for cohort-based Fellows programs as needed
  • Help with a variety of other administrative duties, including ordering office supplies, organizing and maintaining files, data, and budget records, assisting with website updates, booking shared conference room 
  • Hire/train/supervise student workers that work within the office
  • Effectively answer telephones, schedule appointments, compose correspondence, read and route incoming mail 
  • Assisting, when needed, with operations of Honors Fellow program including curricular management, cohort management, and record keeping. 
  • Serve as backup for Program Assistant for Fellows program
