Summary: Join the Undergraduate Admissions team at NMSU as a University Registration/Admission Specialist and play a vital role in accurately managing student records for the purposes of admission at the undergraduate level for multiple campuses. This university-level position is responsible for ensuring the highest level of accuracy in interpreting and coding admissions data. This position is also vital to the student experience and student success and helps provide a stable and reliable data platform for both internal and external customers downstream. Classification Summary:
University Registrar's Office is NMSU's single repository for all official student records. The University Registration/Admission Specialist position provides customer friendly front-line services, as well as behind the scenes data entry and reporting, related to student records from day of application for admission to providing diplomas and transcripts for every student who ever entered the NMSU system.
Classification Standard Duties:
Processes all information related to a student's academic record in compliance with state, institutional, federal and accrediting agency regulations and requirements. Responsibilities include but are not limited to processing and records maintenance of: applications for admission, collection and scanning of required admission documentation (high school transcripts, ACT/SAT scores, transfer transcripts, etc), transfer and/or undergraduate transcript evaluation – foreign and domestic, course registration including drop, add and withdrawals, grade entry, academic probation notices, enrollment verifications, medical and/or retroactive withdrawals, name and address changes, placement test scores, degree verifications, ordering diplomas, filling transcript requests and processing legal subpoenas.
Required Education, Experience, Certification/License, Equivalency
Required Education:High School diploma or GED certificate.; Required Experience:Three (3) year of experience related to the standard duties as outlined.; Equivalency:Completion of a post-secondary degree or certificate may substitute for years of experience.; Required Certification/License:
Knowledge, Skills and Abilities
KNOWLEDGE:Admissions policies and eligibility requirements.Planning and scheduling techniques.Understanding of the academic year and important dates/deadlines.Application of Federal Educational Rights Privacy Act (FERPA).; SKILLS:Skills in database management, records maintenance, word processing and data entry. Skill in gathering data, compiling information, and preparing reports. Skill inpresentation skills for training of departmental/community college staff in roles that impact student records. Skill in read, understand and apply state regulatory guidelines.; ABILITIES:To provide excellent customer service.To analyze and solve problems and make evaluative judgments.To communicate effectively, both orally and in writing.To make administrative/procedural decisions and judgments. To perform complex tasks and to prioritize multiple projects with skills in organizing resources and establishing priorities. Job Duties and Responsibilities
University level role is responsible for accurate and consistent management of student records from admission application through degree completion and transcript delivery. The activities of these positions are highly regulated by state and federal reporting requirements and assurance that laws are being applied to every student record appropriately and consistently. Legal actions and lawsuits are regularly levied against the management of individual student records and staff actions must be defensible. Department/CC level staff do not perform the majority of these duties and those who do process admission applications at their campus still fall under the oversight of the University-level offices' oversight. Dept/CC level responsibilities do not have final responsibility for correcting coding errors prior to submitting federal and state expense and awarding reports for the NMSU system.
