Work Schedule: Flexible schedule up to 20 hours per week, Monday - Friday, between 8:00am - 5:00pm.

Position Introduction:

The Program Assistant provides marketing and administrative support for the OU Lean Institute. This role supports program visibility, participant engagement, and the effective delivery of Lean Institute offerings, while contributing to efforts that support program growth and enrollment.


Marketing & Promotion:

  • Promote open enrollment programs through social media, email communications, and digital marketing.
  • Develop promotional materials including flyers, newsletters, and visual content using Canva or similar tools.
  • Maintain program webpages and monitor engagement metrics to support outreach efforts.
  • Research and recommend strategies to improve program visibility and enrollment.
  • Explore and research new marketing pathways and engagement strategies to help increase program visibility and enrollment.


Program Coordination:

  • Process program registrations and maintain participant databases.
  • Prepare and distribute instructional materials and course completion certificates.

Provide onsite event support including participant check-in and material distribution.

Operational Support:

  • Maintain program documentation and assist with compiling participation data.
  • Support routine administrative tasks and coordinate session logistics as needed.


Technical Skills & Competencies:

  • Experience managing professional social media accounts (LinkedIn, Facebook, Instagram).
  • Familiarity with Canva or similar design tools.
  • Strong written communication skills for professional correspondence.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar
    Ability to manage multiple tasks with strong attention to detail.
  • Ability to learn systems such as Qualtrics, Canvas, or CRM platforms.


Success Indicators:

  • Increased visibility and participation in Lean Institute programs.
  • Accurate and reliable program administration.
  • Effective coordination of training sessions and events.

Required Education and Experience:

  • High School Diploma or GED.
  • 12–24 months of experience in administrative support, marketing, or program coordination, including demonstrated experience implementing marketing or promotional initiatives.

Department Preferences:

  • Candidates with demonstrated experience in marketing, communications, business, or related fields—including digital marketing, social media, or content creation - including advanced students and early-career professionals.
  • Exposure to Lean, process improvement, or higher education program administration.
