Position Introduction:

The Visitor and Office Support Specialist is a key member of the K20 Center's team, providing both front-facing customer service and essential administrative support to ensure smooth daily operations. Serving as a first point of contact for visitors, staff, and external partners, the incumbent welcomes all visitors, answers incoming calls, and connects individuals with the appropriate resources while maintaining a professional and approachable office environment.

Under general supervision, the specialist supports a wide range of administrative functions, including scheduling appointments, maintaining confidential files, preparing correspondence, and assisting with reports and communications. The role also includes coordinating meetings, managing office supplies and inventory, processing mail, supporting operational workflows, and overseeing student employee scheduling. Additionally, the incumbent will serve as the liaison for the office and communicate with the property manager as needed.

This position also provides support for travel coordination and financial processes. The specialist assists with arranging travel for leadership and supports staff with system-related processes such as Concur, requiring both attention to detail and the ability to navigate administrative systems. Occasional errands and support tasks across work sites may also be required, making flexibility and adaptability important qualities for success in this role.

This position is ideal for a detail-oriented and organized professional who thrives in a fast-paced environment. Strong written and verbal communication skills are essential, as the role frequently involves interacting with a diverse range of stakeholders. Proficiency with Microsoft Office tools and the ability to multitask while maintaining accuracy are essential in this position. Required Education and Experience:

  • High School Diploma or GED.
  • 24 months office, clerical, or administrative experience.

Required Certifications and Licenses:

  • Valid driver's license may be required for work in certain areas for the performance of specific job duties. (Candidates assigned to locations requiring vehicle operation must possess and maintain an active, valid driver's license)
