The Human Resources Coordinator represents the highest standards of excellence and the very best of Pepperdine as a front-line ambassador by greeting guests and ensuring all inquiries to Human Resources receive a swift and accurate response. In addition, this position assists with onboarding new employees, guiding them through new hire tasks, and acting as a primary contact for questions related to their employment, both in their first weeks and beyond. As an integral part of the Human Resources team, this position will provide administrative and operational support for the entire department, assisting with scheduling, purchasing, communications, inventory, filing, and special projects as needed.
Duties
- Assist with the onboarding process for new employees, including sending offer letters and overseeing the completion of new hire tasks, such as the submission of required forms and background screenings. Meet with employees on their first day, providing welcoming and high-touch service.
- Provide excellent front line customer service to visitors and be able to make quick and informed decisions to best assist them. Answer incoming calls and forward to the appropriate party.
- Assist with internal office logistics and coordination, including but not limited to maintaining the University's faculty and staff online directory, ordering office supplies, managing the departmental calendar, scheduling conference rooms, sending a daily attendance update to all HR staff members, and assisting with training and assigning work to student employees. - (Essential)
- Submit all departmental purchase requisition and credit card processes. Track payments to external vendors. Ensure timely processing of all invoices and departmental payments.
- Utilize HR systems (PageUp, Etrieve, and PeopleSoft) to assist with job-related inquiries, and to track introductory periods. Use critical thinking and strong attention to detail to provide a personal touch to communications with community members.
- Assist with departmental projects as requested, including benchmarking and policy research, filing and scanning audits, Person of Interest (POI) requests, and employment verification letters.
- Perform other duties as assigned.

Skills and Qualifications
Required:
- Associate’s Degree
- Job-related experience using a multi-line phone system
- Computer skills, including Excel, Word, Google Drive and Google Mail
- Experience with complex databases
- General office and administrative experience.
- Ability to multi-task and handle heavy visitor and phone traffic
- Exceptional personalized customer service and verbal and written communication skills
- Detail-oriented and critical thinking skills
- Ability to uphold confidentiality and handle sensitive information
- Ability to demonstrate Pepperdine's mission in work performed
- Experience with standard office equipment (computer, fax, telephone, printer)
Preferred:
- Bachelor's Degree
- Experience with Cisco phone systems
- Experience with PeopleSoftExperience with event registration and communications and related webinar support
- 1-2 years' work experience in an administrative support position.
- Familiarity with Pepperdine University; bilingual English/Spanish
- Some experience with PeopleSoft and Etrieve

This is a Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $24.03 - $25.48 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
