The Assistant Director of Business Operations is responsible for supporting the financial operations and business management of the athletic department. This position ensures compliance with institutional, conference, and NCAA policies and procedures, and supports day-to-day operations, including budgeting, purchasing, travel, and financial reporting.

Duties

  • Manage and arrange team travel which includes ground transportation, flights, and hotels for multiple teams. Work closely with coaches and external travel agencies for successful regular and post season travel.
  • Serve as department primary requestor, working with Purchasing and Accounts Payable to establish purchase orders, submit invoices for check payment processing.
  • Reallocate and substantiate all business office credit cards on a monthly basis.
  • Make all necessary department-wide purchases including but not limited to uniforms, equipment, software subscriptions, office supplies etc.
  • Assist with budget development, monitoring, and forecasting for all athletic programs and administrative units.
  • Serve as Student Housing liaison for all student athletes living on campus, communicating all application deadlines and updating housing placements as needed.
  • Assist with internal and external audits, including preparation of necessary documentation.
  • Manage and ensure completion of game contracts and financial guarantees for all teams.
  • Perform other duties as assigned.

Skills and Qualifications

Required:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • 2–5 years of experience in financial operations, preferably in collegiate athletics or higher education.
  • Strong understanding of accounting principles, budget management, and financial reporting.
  • Proficiency in Microsoft Office, particularly Excel; experience with financial systems (e.g., Oracle Planning & Budget Cloud, Simpler Systems) is a plus.
  • Excellent organizational, communication, and analytical skills.
  • Experience using common office computer applications including Google Suite and web browser applications.
  • Exceptional writing skills, attention to detail, and ability to work with various personality types and a self starter.
  • Excellent interpersonal skills, the ability to work in a collaborative environment and a high level of professionalism in all situations.
  • Ability to communicate and work effectively with internal constituents, particularly senior staff, coaching staff and other appropriate University personnel.
  • Ability to work both independently and as a team member and leader.
  • Results-oriented; self-starter; appreciation of and commitment to further the mission, values and goals of Pepperdine University.

Preferred:

  • Knowledge of NCAA rules and athletic department operations.
  • Experience with travel and procurement processes in a university setting.
  • Ability to manage multiple tasks and meet deadlines. Knowledge of Pepperdine University policy and procedures.

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $28.37 - $29.51 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
