The Operations Coordinator serves as a front line staff member, supporting the supervision of student staff, responding to admission inquiries, and providing administrative support to the Office of Admission. This position is the first point of contact for prospective students and families, managing the campus visit check-in process by providing excellent customer service and serving as a knowledgeable admission representative. The Operations Coordinator coordinates the scheduling and coordination of group tours, including communication with campus partners and student tour guides. This position is charged to represent the University mission to prospective students, parents, counselors, donors, and other visitors as a University ambassador.
Duties
- Supervise and conduct the check-in process for campus visitors and train student staff for excellent customer service.
- Co-manage the student tour guides alongside the Assistant Director, including attending staff meetings, supporting daily operations, scheduling, training, and performance oversight.
- Oversee the Office of Admission general email & phone inquiries. Providing advice and policy guidance to all who seek assistance on the phone or by the general Admission email.
- Coordinate middle school and high school group tour visits and monitor the Admission Tour Gmail inbox.
- Assist the Event Manager by ensuring marketing materials and brochures are ordered, stocked, and organized.
- Work with campus partners to schedule reservations for the Bettingen Conference Room.
- Provide front line services to visitors; including directional assistance, maintenance of beverage station, and maintaining a hospitable front lobby environment.
- Serve as emergency Response Team (ERT) representative.
- Suggest strategies for continual improvement of the campus visit experience.
- Serve on the Office Morale Committee.
- Support the leadership team by fostering positive staff relationships and reinforcing clear, consistent messaging across the office.
- Collaborate closely with supervisory and leadership staff, including maintaining open communication and incorporating feedback into daily operations.
- Perform administrative tasks for the office, including sending the daily staff email, ordering office supplies, coordinating an annual office clean-out day, etc.
- Demonstrate strong professional judgment.
- Share the following joint responsibilities with the Assistant Director: lead monthly student meetings, serve as communication liaison between student and professional staff, develop and implement frontline team goals, hire and train student staff, as well as budget and spending policies.
- Serve as the first point of contact for student inquiries, overseeing day-to-day logistics and scheduling, and ensuring all delegated projects are completed to standard.
- Perform other duties as assigned.

Skills and Qualifications
Required:
- Two years of college or equivalent.
- One year of related customer service experience.
- Written and oral communication skills.
- Knowledge of English grammar and spelling.
- Capability in interpersonal and public relations.
- Ability to exercise independent judgment.
- Ability to implement supervisor feedback, strong standards of professionalism, planning and execution skills, desire to support and engage colleagues, enjoys collaboration and strong communication.
- Experience with Google Suite and Adobe Acrobat.
Preferred:
- Bachelor's degree.
- Knowledge of university policies and academic practices.
- Ability to type 45 words per minute accurately.
- Knowledge of Slate and 25Live.

This is a Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $22.50 - $25.00 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
