The IT Project Coordinator assists in understanding a technology vision and facilitating the operational aspects of developing and implementing comprehensive, integrated business technology solutions across the university. This position applies and champions the Information Technology (IT) project management methodologies and procedures within Client Services (CS).
Duties
- PROJECT MANAGEMENT: Supports the management of assigned projects from their initiation to completion and plays a proactive role toward the goal of project completion as planned by the project manager. Works collaboratively with Client Services (CS) staff, assisting them in utilizing project planning, resource allocation, risk management, and communication strategies effectively under the guidance of their respective supervisors. Plays a key role in providing both qualitative and quantitative feedback on the progress of projects, including aspects such as staff involvement, resource availability, and the application of tools, templates, and methodologies pertinent to IT's project portfolio. Acts as a liaison between IT project managers and University stakeholders. Helps ensure that IT projects are aligned with the University's strategic objectives. Delivers project-related metrics and insights to the CS senior leadership, aiding in informed decision-making and project oversight.
- COMMUNICATION AND RELATIONSHIPS: Acts as a professional representative of Pepperdine and IT when engaging with both internal and external stakeholders. Fosters and maintains robust relationships with staff and academic departments and external vendors ensuring ongoing operational effectiveness and future successes. Works closely with CS managers and staff, as well as other stakeholders, to research, propose, and implement project management best practices and innovations that support the university's educational, research, and administrative goals. Responsible for applying a "best practices" approach to aid project managers in successfully completing projects within the IT portfolio, as determined by CS senior leadership. Regularly interacts and communicates with colleagues and stakeholders to monitor project progress and foster a culture of solution-focused thinking. Plays a vital role in addressing challenges, identifying opportunities, and guiding teams to work and communicate in a manner that is both effective and efficient.
- DATA AND DOCUMENTATION: Maintains data tracking and documentation for each project. Applies data metrics for all Client Services (CS) projects. Aids in the development of systems or processes to streamline data collection. Contributes to the design of systems or methods that expedite the reporting of metrics and outcomes for CS areas. Generates regular reports on CS project progress and team performance.
- ADMINISTRATION: Reviews and submits regular, timely, and complete paperwork and processes, such as status reports, bi-weekly or monthly timesheets, assessments for mid-year and annual reviews, and other routine IT and University practices. Keeps personal and shared workspaces clean and organized.
- COLLABORATION: Provides backup support and assistance to other team members. Collaborates with co-workers and University colleagues on departmental, division-wide, and institutional projects. Shares process information and makes informal recommendations on how to improve processes and overall job execution within the team/department.
- PROFESSIONAL DEVELOPMENT: Attends training sessions, vendor presentations, user group meetings, conferences, and seminars. Engages regularly in individual professional development related activities to remain current with industry technology trends and work processes.
- COMMITTEES AND BEYOND JOB DUTIES: Volunteers to undertake tasks that stretch the employee's capabilities. Serves on various committees within the Information Technology division. Participates in external University committees. Performs other related duties as assigned.

Skills and Qualifications
Required
- Bachelor’s Degree in related technical/business areas or equivalent work experience.
- Strong written and verbal communication skills.
- Proven organizational and interpersonal skills needed to work effectively with a wide variety of internal and external resources.
- Strong decision-making skills and ability to work under pressure.
- Familiarity and use of major project management and collaboration softwares including MS Project, Asana, MS Office, email, calendaring, and emerging collaboration tools (wikis, Google Apps, web conferencing, etc.).
Preferred
- Bachelor's Degree, preferably in Computer Science, Information Systems, Business, or related field.
- One (1) or more years of experience in Information Technology or related business operations, demonstrating technical proficiency in one or more IT domains, along with experience in project management (small- and large-scale), budget oversight, training and presentations, organizational development, change management, and financial or process management across multiple business functions.
- Leadership experience in managing cross-functional teams and influencing senior-level management and key stakeholders.
- Demonstrated ability to assist in conceptualizing, launching, and delivering of a portfolio of services that meet business demands on time and within budget.
- Project Management certification such as PMP, CAPM, or equivalent.
- Technical skills in Information Technology and data analysis with some knowledge of waterfall project management practices, Agile strategies, and the Project Management Body of Knowledge (PMBOK).
- Experience in following emerging trends in both technology and project management practices.
This is a Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $23.79 - $26.44 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
