Under the direction of the Supervisor, Mail Room and the Manager, Mail Services for the Department of Campus Operations, the Mail Room Coordinator will perform various duties, including answering the mail services emails, making phone calls, providing retail counter services, and providing exceptional customer service. This position will assist in receiving packages at the loading dock and communicating with delivery drivers to ensure a positive and efficient work environment. This position will also require various duties to ensure that information is properly relayed and job tasks are completed. This position provides valuable services to Pepperdine students, faculty, and staff.

Duties

  • Answer emails and phone calls and provide exceptional customer service at the retail counter.
  • Provide guidance and training to student employees.
  • Responsible for sorting incoming letter mail each morning prior to deliveries, sorting the mail in the appropriate sorting areas, processing outgoing mail on the postage meter, and processing any outgoing UPS shipments using the campus ship website.
  • Responsible for looking up unidentifiable letter mail, returning outdated packages to the sender, and investigating any packages that are not reflected in the tracking system.
  • Help in processing credit card transactions at the end of the day.
  • Assist in receiving UPS & FedEx trucks at the warehouse dock.
  • Responsible for entering new hires or transferring faculty/staff into the tracking system.
  • Help process packages into the mail services tracking system.
  • Help with learning and troubleshooting mail services software and hardware.
  • Fill in for Mail Courier Supervisor and courier positions.
  • Perform other duties as assigned.
  • Uphold University's mission through work performed.

Skills and Qualifications

Required:

  • Proof of legal U.S. working status
  • Graduation from high school or its equivalent
  • Experience working with the public and in customer service
  • Minimum of 1 year of applicable experience with processing mail using a computerized postage system
  • Experience with Lorton data software and Quadient mail meter equipment
  • Ability to maintain required trade-specific training and certifications and obtain further training as needed
  • Analytical and problem-solving skills to successfully resolve issues
  • Strong English, written and verbal communication, and interpersonal skills
  • Consistently project a professional demeanor and positive attitude
  • Ability to work independently and as a team
  • Willingness and ability to periodically work overtime hours
  • Must hold a valid California Driver's license, maintain an acceptable DMV driving record, and remain insurable by University insurance carrier at all times while employed
  • Must be able to bring a current DMV driving record printout on the first day of employment
  • Ability to use a desktop computer
  • Normal mobility and the ability to move around construction sites
  • Ability to bend, stoop, twist, traverse rugged terrain, and climb up and down ladders and scaffolding 
  • Ability to lift and carry 70 pounds, including up and down stairs
  • Basic computer skills and competency with Microsoft Office and Google Suite

Preferred:

  • Working knowledge of US postal regulations and ability to interpret postal regulations.

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $21.63 - $24.00 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
