Description: Provide top quality, consistent and seamless secretarial support to lawyers in an effective and efficient manner.

Responsibilities:

  • Understand and assist in conveyancing/litigation/banking processes.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Organize and maintain correspondence and documents in hardcopy and electronic filing systems.
  • Compile documents for review, meeting or submission by way of printing, photo copying, scanning or binding.
  • Prepare dispatch forms, consignment notes, etc. for delivery of letters/documents by way of hand delivery, post or courier.
  • Understand the billing procedure for the preparation of client invoices.
  • Assist with invoices and claims submission.
  • Organise and coordinate meetings, conferences and travel arrangements.
  • Draft routine correspondences, e.g., letter of delivery of documents, etc.
  • Assist with online searches via Companies Commission of Malaysia, MyEG or CTOS portal.
  • Assist with updating business cards in InterAction/Outlook Contact.
  • Liaise with internal and external parties in getting work done.
  • Any ad-hoc task assigned (exclude personal matter).

Qualifications:

  • Professional secretarial certificate or its equivalent.
  • Excellent command of written and spoken English.
  • Well-versed in daily administrative procedures.
  • Proficient in Microsoft Office applications.
  • IT savvy, e.g., understanding of networks and databases.
  • Meticulous and attentive to detail.
  • Excellent time and organizational management skills.
  • Strong sense of responsibility and initiative, interpersonal skills and a pleasant personality.
  • Willing to learn.
  • Able to adapt in a fast-paced environment, work under pressure and meet tight deadlines.
  • Knowledge in conveyancing/litigation/banking processes is an asset.
  • Must be a Malaysian citizen or hold relevant residence status.
  • Must be willing to work in Kuala Lumpur, Malaysia.
  • Required language(s): English and Bahasa Malaysia.
