Coordinating OR Surgical Cases for Cardiac Surgery Division Chief and Surgeons
Schedules into EPIC any procedures which will occur at University Hospital and outside facilities
Coordinates requires Pre-Admission Testing and Anesthesia linked appointments
Responsible for maintaining Aortic Aneurysm, State and Institutional Registries
Processing cardiac surgery new patient referrals and triaging based on urgency
Works in conjunction with billing office to ensure that appropriate referrals or authorizations have been obtained and documentation completed via EPIC
Obtains authorization for clinic procedures, insurance verification, maintains referrals work queue and EPIC depot
Scheduling outpatient procedures, such as: CT, X-rays
Room patients and provide clinical support to cardiac surgery clinics
Answers the telephone, taking accurate messages, transferring calls to appropriate staff or handles certain calls that are appropriate
Maintain provider schedules and adjusting templates when needed
Assists with scheduling follow up appointments in the outpatient practice as requested by the procedure practice
Responsible for chart preparation in EMR system. Reviews the patient orders and makes sure that all pertinent information is available for the provider prior to patient's surgery. (e.g. requests missing test results or clearance notes are sent to our office prior to surgery)
Access to PACS System and Healtheconnections
Clinic check in and check out
Responsible for sending written correspondence for procedure appointment changes
Schedules outside services as requested by the physician for the patient (Medicaid cab, interpreter services, etc.)
Responsible for review of the procedural schedule to make sure that the schedule is appropriate regarding the time allotted for each procedure to decrease patient "wait time" and utilize the physician's time efficiently
Responsible for assisting with processing all procedural schedule changes and communicating with physicians regarding schedules
Other clinical duties as assigned.
Minimum Qualifications:
Associates Degree or pertinent college level courses and 3-5 years medical secretarial experience with specific focus on authorizations and understanding patient benefits. Will consider equivalent combination of education and experience. Current BLS certification through the American Heart Association or the American Red Cross.
