About the Role
Provide executive and administrative support to the functional Chief (Group Leadership Team member or Group Executive), in order to contribute to the efficient delivery of business operations and service delivery across the service line. The Executive Assistant is also required to coordinate and manage the administration and logistics of Group and Senior Leadership Team meetings, and others as required that are the responsibility of their office.

Duties
It’s an exciting time at icare where no two days are the same; as an Executive Assistant you will:

Provide executive level and administrative support to the functional Chief including, but not limited to, diary and email management and prioritisation, meeting coordination and logistics, minute taking, file maintenance, ordering of stationery, photocopying and filing, monitoring budgets, organising reimbursement for out of pocket expenditure, reconciling and submitting Purchasing Card expenses, team events, travel and catering arrangements and conferences.

Facilitate and screen the efficient flow of information to and from the Chief by exercising discretion, initiative and confidentiality in responding to and referring matters to and on behalf of the Chief.

Contribute to the optimum use of available time by coordinating, planning, organising, and prioritising work commitments for the Chief.

Develop appropriate systems, procedures and controls to assist the Chief to monitor and manage the leadership team’s activities, including managing and maintaining records.

Manage communications for the Chief including the distribution of documents and requests for information.
- Adhoc support when required, including onboarding new starters, travel arrangements, greet team’s visitors, draft and prepare correspondence, agendas, minutes and reports.
Skills & Experience
- A broad range of experience in executive support in a corporate environment – highly regarded
- Board governance experience – highly regarded
- Strong organisational and time management skills, ability to forward plan and prioritise
- Excellent diary and calendar management for multiple managers
- Strong experience with dealing with key stakeholders (internal & external)
- Confident and excellent people skills – working with different styles and personalities
- Highly proficient in Microsoft Office, Teams and Visio
- Ability to navigate an organisation and network with teams and stakeholders to achieve outcomes
