The Operations Coordinator, Irvine Campus, represents the highest standards of excellence and the very best of Pepperdine as a front-line ambassador by greeting guests and ensuring all inquiries receive a swift and accurate response. As an integral part of the Human Resources team, this position will provide administrative and operational support for the entire Irvine campus, assisting with scheduling, purchasing, communications, inventory, filing, special projects, and emergency response as needed.

Duties

  • Provide excellent front-line customer service to visitors and be able to make quick and informed decisions to best assist them. Answer incoming calls and forward them to the appropriate party. 
  • Maintain the organization and tidiness of the main offices, hallways, breakrooms, storage cabinets, classrooms, and other shared spaces which includes maintaining an adequate inventory of stocked supplies. Maintain graduate campus office supplies inventory. 
  • Coordinate the repair of any A/V equipment issues directly with Information Technology staff, seeing fully until resolution.
  • Serve as a point person for receiving requests for maintenance/repairs needed on campus, reporting them to the office of Real Estate Operations, and ensuring requests are fully completed.
  • Manage emergency-related needs for the campus up to but not limited to Clery Act reporting, fire and earthquake drills, reporting building emergencies to the proper key stakeholders, and liaising with building management and the Office of Emergency Services for on-site training.
  • Ensure necessary and timely communications are sent out to the campus community when needed through the university's Marketing Cloud platform. 
  • Review and approve all 25Live scheduling requests for office and classroom use within the Irvine campus. Coordinate with the office of Real Estate Operations for the rental of on-site conference room space by third parties.
  • Manage all Irvine parking-related needs and questions. This includes assisting staff, faculty, and students with validation inquiries and ensuring parking-related requisitions/purchase orders are submitted in a timely manner. 
  • Serve as the on-site point of contact for Human Resources regarding employee engagement, operational functions, employment matters, onboarding new employees, etc.
  • Other duties as assigned.

Skills and Qualifications

Required: High school diploma. General office and administrative experience. Proficient in Google Workspace and Microsoft Suite. Ability to multi-task and manage heavy visitor and phone traffic. Ability to work in an environment with frequent interruptions. Ability to organize and prioritize changing workloads. Strong interpersonal, oral, and written skills, including a pleasant disposition and an ability to communicate with diplomacy and tact in sensitive situations. Strong customer service and interpersonal skills. Strong organizational and time management skills. Strong attention to detail and critical thinking skills. Ability to maintain confidential information, exercise sound judgment, and work independently. Must dress professionally. Ability to integrate the University’s Christian mission with HR practice. Standard office equipment (computer, fax, telephone, printer); Google Drive, Mail, and Calendar; Excel, Word.

Preferred: 1-3 years experience managing day-to-day office operations. Experience working with third-party vendors. Previous database system experience.

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $19.23 - $21.63 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
