This position assists with the student admissions process/systems and preparations processes for the 1500+ applications and 800+ International Programs participants annually. This role fills a crucial role in making it possible for students to study abroad, there by attaining a life-changing experience that will contribute to being a better global citizen.

Duties

  • Assisting with the Student Admissions Process: Work with Associate Director and Manager to maintain student application records. Update admissions statuses. Open and close applications. Maintain application notes. Contact students with admissions process information. Prepare materials for contract signing and waitlist sessions.
  • Processing and Tracking Student Vital Documents: Process incoming vital documents including passport copies, health clearance forms, flight itineraries, homestay forms, visa copies, and other study abroad preparation documents. Check all documents for validity. Maintain checklist records to track which students have turned in documents. Record passport information. File and organize validated documents. Contact students with reminders about vital documents when they have missed deadlines or submitted incorrect documents. Coordinate Second Passport acquisition for selected students (including student communication, organization, creation of support letters).
  • Front Office Duties: Welcome visitors and assist with fielding inquiries via phone, email, or walk-in appointment. Serve as primary backup for Office Manager during vacations and out-of-office times.
  • Assisting Student and Faculty Visa Processes: Assist with preparation for visa workshops. Check visa materials for errors and notify students or faculty when necessary. Compile visa packets for shipment. Maintain visa document student records. Check visa copies for validity.
  • Coordinate study abroad student information management system implementation and enrollment management in conjunction with external constituents and other members of the IP team.
  • Support IP events and special projects (Orientations, Staff Retreats, Student Reentry Events and International Education Events) as needed.
  • Perform other duties as assigned including coordinating aspects of the student admissions and preparation processes.
  • Uphold University mission through work performed.

Skills and Qualifications

Required:

  • Bachelor's Degree.
  • 1+ years of professional office experience and experience with data input.
  • Excellent attention to detail, conscientiousness, professionalism, ability to work under pressure, strong interpersonal skills.
  • Ability to work on a mac-based computer.
  • Proficient in Microsoft Office, especially Excel.
  • Ability to use standard office equipment (phone, fax machine, copy machine).

Preferred:

  • Study abroad experience.
  • Familiarity with Pepperdine culture, group travel, study abroad/experiential education, database management, and admissions processes.
  • Advanced skills in Microsoft Office, especially Excel.
  • Knowledge and experience with PeopleSoft and Google products.

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $21.63 - $23.31 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
