The Guest Services & Events Coordinator plays a vital role in delivering an exceptional and seamless experience for all guests and clients of the Villa Graziadio Executive Center. This hybrid position combines event planning, front desk operations, guest hospitality, and marketing support.

With creativity, professionalism, and a strong commitment to service, the Coordinator manages event logistics, oversees guest interactions, and contributes to marketing efforts that enhance visibility, client engagement, and the overall reputation of the Villa. The ideal candidate is proactive, detail-oriented, hospitality-driven, and experienced in event coordination and basic marketing functions

Duties

  • Event Planning & Coordination - Lead planning, coordination, and execution of conferences, meetings, and social events. Collaborate with clients to understand their goals, vision, and event requirements. Manage event details from concept through implementation and post-event review. Work closely with the Guest Services Manager and University leadership to align Villa Graziadio Executive Center's operations with the broader goals of the University. 
  • Customer Service Excellence - Serve as the primary point of contact for conference clients and overnight guests. Deliver warm, professional hospitality through efficient check-ins and check-outs. Address all guest and client needs with urgency, accuracy, and care. Anticipate concerns, resolve issues quickly, and maintain a high standard of service. Maintain professional dress and demeanor. 
  • Reservations, Room & Venue Management - Manage room assignments, reservations, and special requests. Coordinate with housekeeping, maintenance, and event teams to ensure room and venue readiness. Support vendor coordination and venue setup for conferences and events. 
  • Marketing & Communications - Support the development and execution of marketing strategies that promote the Villa Graziadio Executive Center. Collaborate with the marketing team to create content for newsletters, social media, web pages, and promotional materials. Capture photos, collect testimonials, and gather content for marketing campaigns. Assist with brand consistency and messaging across communications. Help manage event visibility through calendars, announcements, and targeted outreach. 
  • Administrative & Budget Responsibilities - Develop and manage event budgets; provide accurate estimates and financial reports. Process guest payments, reconcile transactions, and maintain administrative accuracy. Ensure compliance with policies, procedures, and record-keeping standards. 
  • Other Duties - Perform other duties as assigned.
  • Mission - Uphold the University mission through all work performed. 
  • Shift Flexibility - Be flexible with shift schedules, including availability for early mornings, evenings, weekends, and overnight shifts, to ensure that the front desk is always covered.

Skills and Qualifications

Required:

  • Bachelor’s Degree; or previous experience or education in hospitality, event management, or marketing
  • Excellent interpersonal and communication skills
  • Strong organization and attention to detail
  • Proficiency with computers, Google systems, and basic marketing tools or platforms
  • Ability to work independently and collaboratively in a fast-paced environment
  • Availability for early mornings, evenings, weekends, and holiday shifts
  • Strong problem-solving abilities and a positive, service-minded attitude

Preferred:

  • Experience with event management software, property management systems, or marketing platforms
  • Familiarity with Pepperdine University
  • Background in faith-based higher education
  • Experience with social media management, content creation, or customer engagement marketing

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Rate: $22.00 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
