Lehigh University seeks a dedicated Student Counseling Services Coordinator to provide essential support to our Office of University Counseling and Psychological Services (UCPS). This full-time, nonexempt position offers the opportunity to make a meaningful impact on student mental health and wellbeing while working within a respected academic institution.
About the Opportunity
As our Student Counseling Services Coordinator, you will serve as the backbone of our clinical operations, ensuring seamless service delivery in a high-volume mental health environment. Your role encompasses managing confidential records, supporting training programs, coordinating outreach initiatives, overseeing budgeting processes, and providing administrative leadership that maintains compliance and continuity of care.
Position Number: S79010
This position is a Grade: 7 - 37.5 with an approximate salary range of $37,190-$44,640 and is subject to change based on experience, skills and qualifications.
Key Responsibilities
- Greets and assists visitors, conducts initial need assessments to schedule and prioritize appointments based on urgency, and closely monitors and coordinates responses for students presenting with immediate risk or crisis concerns.
- Manages the secure processing of clinical documentation, demographic data, and consent forms while maintaining strict HIPAA compliance, and serves as a test administrator to score psychological assessments and generate reports.
- Serves as the Department Employment Coordinator for doctoral, practicum, and post-doctoral positions, managing the recruitment and selection process including APPIC (Association of Psychology Postdoctoral and Internship Centers) matching program logistics.
- Facilitates the onboarding of all trainees while tracking critical deadlines, renewals, and memberships to ensure strict compliance with APA training accreditation requirements.
- Coordinates AOD (alcohol and other drug) student referrals with Student Conduct, designs and manages research surveys, provides logistics for professional presentations, and assists in planning and promoting departmental outreach, consultation, and teaching initiatives.
- Monitors and tracks departmental spending, assists in developing annual budget plans, compiles financial reports, and manages administrative processes for accounting transactions, contracts, and discrepancy resolutions.
- Manages supply and equipment inventories by initiating timely reorders, while contributing to the continuous development and refinement of internal budgeting procedures and resource allocation workflows.
- Provides comprehensive clerical support to staff and leadership, manages and updates the department website in liaison with Learning Technology Services, and trains personnel on office systems, tools, and procedures.
- Generates critical statistical and operational reports, including Titanium Scheduler and AUCCCD (Association for University and College Counseling Center Directors) submissions, while serving as the primary point of contact for external vendors, facilities, and the after-hours crisis line service provider.
Qualifications
- High School Diploma or GED
- CPR/First-Aid Certified
- Mental Health First-Aid Certified
- Minimum of three to five years of administrative experience in a healthcare, mental health, or counseling office setting or one to three years of relevant experience accompanied by completion of a vocational or technical program in one of the following areas: Medical Office Administration, Health Information Technology, Medical Administrative Assistant (Certificate), or Certified Medial Administrative Assistant (CMAA)
- Proficiency in handling sensitive health information in accordance with HIPAA standards
- Familiarity with electronic medical records (EMR/EHR) systems and medical or psychological terminology is preferred
