JOB SUMMARY:

The Arizona Public Safety Personnel Retirement System located in Phoenix, Arizona is currently seeking qualified candidates for the position of Investment Paralegal. Under the direction of the Investment Paralegal Manager and Chief Investment Counsel, this position will be responsible for projects of considerable difficulty, such as tracking, coordinating and ensuring efficiency and accuracy in mission-critical tasks associated with contracts pension fund investment transactions by providing paralegal and administrative support to the Investment Legal and the Investment Department. This position includes administrative and clerical responsibilities in addition to those strictly related to closing and filing investment contracts. This position includes interaction with all investment team members in regards to administrative assignments.

This position may be eligible for remote work 2 – 3 days per week.

Job Duties:
  • Lead and prepare documents for signature and closing for all investment related matters.
  • Coordinate with signatories to manage execution of documentation.
  • Coordinate and track approval process for investment transactions.
  • Prepare final versions of investment documentation for execution.
  • Distribute executed investment documentation, including filing with regulatory bodies when required.
  • Maintain hard copy and electronic records of all executed investment documentation.
  • Manage and organize email and hard copy correspondence related to fund investments, including final versions of all executed documentation, such as:
    • Limited Partnership Agreements
    • Limited Liability Company Agreements
    • Side Letters
    • Subscription Agreements
    • Guarantee Agreements and Investment Management Agreements
    • Related documentation, such as notices, amendments, consents, acknowledgements, investor letters, MFN side letter elections, non-disclosure agreements, K-1s, financial statements, and tax reporting documentation.
  • Manage paper and electronic filing systems for legal documentation related to Investment Department activities including regular reviews to ensure due diligence files are complete.
  • Maintain and update contact information for each asset class, including Contractual Income, Capital Appreciation and Diversifying Strategies and both draw-down funds and hedge funds.
  • Draft, review and finalize legal documents; proofread to ensure accuracy of information, sense and proper legal formatting. Tracks and notify staff of important deadlines relating to investments.
  • Coordinates and assists with responding to documentation requests from external and internal groups, including compliance and regulatory-related requests, public record requests, and Board of Trustees inquiries as required.
  • Coordinate with legal counsel service providers and other external groups as required.
  • Interface with other PSPRS departments.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Investment transaction documentation creation and contract management.
  • Federal and State statutory requirements related to investment activities.
  • Rules of English grammar and composition to prepare, review and edit documents and reports.
  • Legal principles, practices and procedures associated with Investment activities.

Skill in:

  • Applying auditing methods and techniques to ensure document accuracy.
  • Strong organizational, analytical and issue-identifying skills.
  • Establishing and maintaining interpersonal relationships.
  • Resourceful research and investigative methods.
  • Interpret complex rules and regulations.
  • Communication, both written and verbal.
  • Use of computer software programs such as MSWord, Excel, Power Point, NitroPro and NetDocs.
  • Time-management and problem-solving techniques.

  • Meeting rigorous deadlines.

Ability to:

  • Prioritize, handle privileged, confidential and sensitive information.
  • Adapt to differing situations and complete multiple tasks under time constraints.
  • Proactive, problem-solving attitude, strong work ethic and ability to identify and escalate matters that require attorney review.
  • Work independently with minimal direct supervision.
Selective Preference(s):
  • Paralegal Certification through certifying entity such as NALA.
  • 2+ years of experience as a paralegal.
  • 3+ years of experience with law firm, public pension, investment advisor or other financial/asset management related organization.
Pre-Employment Requirements:
  • Employment is contingent on the selected applicant passing a background investigation to include credit and criminal history.
