Position Summary

The Program Assistant plays a key role in supporting the programs and daily operations of Elon University’s Center for Access and Success. This position provides essential administrative and programmatic support across the Center’s four core initiatives: the Elon Academy, the Odyssey Scholars Program, First-Generation Support Services, and the Village Project. The Program Assistant helps ensure the smooth day-to-day functioning of the office while contributing to the planning and coordination of impactful events and activities. Occasional evening and weekend work is required to support programming throughout the year.

Minimum Required Education and Experience

Bachelor’s degree required.

Preferred Education and Experience

Preferred Experiences and Skills:

Experience in an administrative, office management, or program coordination role, ideally within an educational or nonprofit setting

Demonstrated ability to manage multiple tasks and priorities in a fast-paced, mission-driven environment

Strong organizational and time-management skills with attention to detail

Excellent written and verbal communication skills; comfortable interacting with students, families, faculty, and community partners

Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace; experience with databases and budget tracking tools is a plus

Comfort with coordinating logistics for events, including scheduling, ordering catering, and managing supplies

Commitment to diversity, equity, and inclusion, with sensitivity to working with students and families from diverse backgrounds

Ability to handle confidential information with professionalism and discretion

Collaborative spirit with a willingness to support team-wide needs as they arise

Spanish language proficiency or experience working with multilingual communities is a plus

Job Duties

  • Office -
    • Act as the primary presence and resource for the Center for Access and Success, faculty, staff, and families. 
    • Manage the workflow for the Center. 
    • Maintain records and databases of the Center’s programs, activities, grants, and initiatives. 
    • Handle correspondence with students, families, faculty, and staff. 
    • Assist with reports for Center. 
    • Assist with opening and closing procedures. 
    • Maintain a neat and orderly professional office environment. 
    • Welcome everyone to the Center and answer questions regarding all initiatives in the Center to the best of their ability. The Program Assistant will defer to Elon Academy, Odyssey, First-Gen, or Village Project programs if additional information is required. 
    • Coordinate event management logistics for meetings and events, including space reservations, set-up requests, catering orders, hosting candidates, donor visits, and media needs.
  • Funding/Budget 
    • Track budget and expenses for the Center. 
    • Reconcile the Center bank statements, allocate receipts, reimbursements and manage check requests. 
    • Coordinate events related to the dissemination of information regarding the programs at the center.
    • Manage educational stipend account balances ($2,000) for each Odyssey scholar (approximately 160 scholars) 
  • Public Relations 
    • Update publications materials as needed. 
    • Assist with finding resources to provide Spanish translation for the Center for Access and Success programs. 
    • Manage shared inboxes, calendars, and phone lines for the center serving as the first line of communication. 
  • Events/Activities 
    • Work with Directors each program area to support, plan, and implement, year-round program; such as Elon Academy (recruitment, orientation, monthly Saturday Programs ); Odyssey (stipends, meals, graduation); First-Gen(celebration, graduations); and Village (Summer, assistance in recruitment of tutors) 
    • Assist with the summer day camps and residential programs related to the Center for Access and Success. This includes (but is not limited to) coordinating summer housing, meals, transportation, linens, supplies, etc. 
    • Provide logistical support for programs, activities, initiatives and assessment of all Center for Access and Success events and programs 
    • Participate in Center events and programs on an as-needed basis. 
  • Supporting the Mission 
    • Performs other duties as required to ensure the quality and success of the program 
    • Provides support to the Executive Director for the Center for Access and Support.
