Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Provides specialized administrative support for the educational programs of the department of Community Medicine and Population Health (CMPH) and the College of Community Health Sciences (CCHS).
Under limited supervision, assists the Director of Population Health Sciences Master's Program and Department Chair with the day-to-day operations of CMPH degree programs and other administrative/operational needs of the department. Manages all department academic and non-academic records as required in Degree Works, Banner, Course Inventory (CIM), Course Leaf/CLSS, Astra Scheduling, Aim Work order software programs. Serves as primary point of contact for potential students, advises graduate students in course registration, and communicates educational program information to medical students, preceptors, and department faculty. Supports national, regional and local recruitment efforts for CMPH programs. Assists with the administrative needs of development of future degree programs. Serves as liaison between department faculty and UA Graduate school and other campus partners as needed.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.

Ability to demonstrate tact, versatility, and adaptability. Ability to demonstrate a high degree of self-motivation and directional initiative. Efficient and accurate computer and data entry skills. Working knowledge of standard office software applications, including Microsoft Office and basic data platforms. Skill in exercising initiative, judgment, problem-solving, and decision-making. Skill in organizing work to achieve department goals and objectives. Ability to analyze and interpret complex data. Ability to research and prepare comprehensive reports.
Preferred Qualifications: Bachelor's degree preferred. Experience working in a higher education (university or college) environment referred. Knowledge/experience with specific UA systems (Banner, Concur, Everest, Astra) and UA financial accounting, purchasing, and travel policies and procedures preferred.
