Job Summary: The Event Planner conceptualizes event theme, itinerary, etc. Develops and manages event budgets. Oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff, students, and etc.
Additional Department Summary: The Event Planner oversees and executes all facets of Styslinger College of Engineering (SCoE) events at the direction of the Dean and the Dean’s Office. Responsibilities include comprehensive event planning and management such as venue selection and coordination, catering procurement, invitation development and distribution, décor planning, fee collection, staffing coordination, and logistical set-up and breakdown.
Serve as the primary liaison among internal and external constituents to ensure seamless event preparation and post-event operations. Maintain full accountability for inventory management and the timely processing and reconciliation of vendor invoices, ensuring fiscal responsibility and adherence to institutional policies and procedures.
This position is required to work some weekends and evenings as needed.
Required Minimum Qualifications: Bachelor's degree and two (2) years of event planning or coordination experience; OR master's degree.
Additional Required Department Minimum Qualifications: Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.
Skills and Knowledge: Excellent written and verbal communication skills. Ability to handle multiple tasks effectively. Strong organizational, computer, and interpersonal skills. Ability to develop and maintain relationships for the college. Ability to work collaboratively in a dynamic setting. Ability to research and prepare comprehensive reports. Ability to work at a rapid pace with numerous interruptions, cope with stressful conditions, and demonstrate tact, versatility, and adaptability.
Preferred Qualifications: Bachelor’s degree in hospitality, marketing, communications or similar field. Experience in Canva or Adobe Creative Suite, Concur, Astra, and reconciling budgets. Knowledge of the University's financial accounting, purchasing, and travel policies and procedures.
