About the Position |
This position supports Western Washington University’s degree programs on the Peninsulas. Responsibilities include providing program advising services to current and prospective students, providing student support services, and referrals to other units as needed. This position supports the faculty and adjunct faculty associated with the programs and is also responsible for collaborating with other Western team members to support the promotion of Western’s programs on the peninsulas. This position is primarily an in-person role with limited options for remote work and may have an extended schedule, working until 6PM to accommodate student and program needs.
Job Duties/Responsibilities:
(30%) WotP Administrative Support Tasks include:
- Meet regularly with Olympic and Peninsula College advising professionals to provide program updates and confer about curricular issues concerning students
- Plan and execute events such as class presentations, outreach and recruitment events, new student and faculty orientations, open houses, info sessions, advising sessions, and student support and engagement activities
- Ensure accuracy of course information in WWU registration system through collaboration with departments and colleges
- Coordinate computer access for WWU students and faculty teaching and visiting the Olympic College Poulsbo campus
- Coordinate the planning of the annual schedule and quarterly class schedules with direction from academic program directors
- Request classroom assignments through Olympic College's scheduling software system
- Collaborate with WWU Career Services to ensure access to Handshake for internship and job postings, career advising and information and other services as appropriate
- Work with and coordinate with academic program directors, academic departments, student support units and Outreach and Continuing Education units to ensure policies and procedures are consistently followed
- Work with Western on the Peninsulas and Olympic College colleagues to provide customer support at the front desk, serving students, faculty, staff and the general public on a walk-in basis
- Serve as primary point of contact for office supplies and ordering for Western on the Peninsulas and SEA Discovery Center, utilizing a purchasing card
- Maintain up to date and accurate student records in the appropriate WWU systems

(20%) WotP Faculty Support Tasks include:
- Assist with coordination of Internships in cooperation with academic program directors as appropriate
- Assist faculty in making community connections (peninsulas region)
- Coordinate with IT Technician for classrooms and meeting rooms that require ITV or other technology
- Coordinate with department contacts to ensure course supplies and materials for WWU on the Peninsulas faculty For adjunct faculty:
- Provide orientation to campus/classroom (Web4U, ITV, WWU email accounts, parking, Olympic College IT access, etc)
- Provide referrals to appropriate WWU office when faculty member or a student has a grievance, cheating is suspected or other academic policy issues arise with guidance from academic program directors
- Provide training and support on office equipment, policies and procedures
- Assist adjunct faculty in finding space to hold office hours
- Provide support with information and reminders about grading policies and deadlines
- Serve as initial point of contact for adjunct faculty as needed
(30%) Academic and Student Support Tasks include:
- Provide pre-program advising for students in assigned programs
- Advise current students in assigned program, ensuring accurate advising
- Create and maintain accurate prospective and current student records and contacts
- Utilize WWU systems to support student recruitment, advising and success, including Slate, Banner, Navigate, DegreeWorks and others as appropriate
- Complete academic planning forms with direction from academic program directors
- Liaise with OCE and WWU main campus support units (eg Office of the Registrar, Financial Aid, Veteran's Services, etc)
- Coordinate admissions with WWU Admissions Office
- Create and maintain accurate physical and electronic student files
- Review and provide detailed reports on student progress quarterly
- Complete and submit accurate graduation applications for final review by Registrar's Office
- Triage registration questions and issues for students and faculty
- Provide interface between WOTP students and WWU-Bellingham and/or OC-Bremerton student support services
- Work with WWU Veteran's Office to process VA paperwork; including coordination between OC and WWU when students are attending both institutions
- Coordinate student registration and financial aid across campuses and colleges with appropriate student support offices
- Coordinate support services for Veterans and Active Duty Military students
(10%) Social Media Support tasks include:
- Assist with the creation and implementation of a social media calendar for Peninsulas programs
- Collaborate with program faculty and staff to highlight recruitment events and program related activities on social media (Facebook and Instagram)
- Support the creation of engaging content focused on recruitment and retention
(5%) Diversity, Equity, Inclusion, Anti-Racism, and Accessibility Work:
- Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
- Contribute to the unit, OCE, and Western's work on diversity, equity, inclusion, anti-racism, and accessibility through conversations and professional development
(5%) Other duties as assigned
