The Senior Payroll Coordinator is a key member of the university's payroll team, responsible for managing and coordinating payroll operations to ensure accurate and timely payment of faculty, staff, and student employees. This role involves overseeing payroll processing, ensuring compliance with laws and regulations, mentoring junior payroll staff, and serving as a resource for payroll-related inquiries and problem resolution. The Senior Payroll Coordinator will work collaboratively across departments to streamline processes and enhance operational efficiency.

Position Number: S78270

This position is a Grade: 8 - 37.5 with an approximate salary range of $43,940 - $52,740 and is subject to change based on experience, skills and qualifications.

Key Responsibilities:

• Input and maintain accurate Payroll records.
• Set up new employee records, including employee designation, personal and regulatory information, job record, labor distribution and deductions.
• Audit payroll calculations to ensure system accuracy and consistency with source documents.
• Resolves discrepancies.
• Complete short term disability information within the Banner System and contact HR when employees exceed continuous sick days. • Review source documents for accuracy, completeness and compliance with Lehigh University policies and legal requirements. Contact Department to resolve problems.
• Communicate with employees about direct deposit and problem solve when necessary.
• Review and process additional compensation requests. Ensure compliance with University policies.
• Obtain and verify authorized signatures on incoming paperwork.
• Provide Payroll Manager with re-allocation information.
• Verify eligibility of additional hours (timesheets).
• Review and analyze employee information to maintain immigration compliance, monitor nonresidents/ residents’ status, FICA stats, and treaty setup.
• Identify and escalate more complex immigration and taxation problems to payroll management.
• Research and prepare various wage verifications.
• Respond to supervisor and employee questions regarding non-resident work eligibility issues.
• Assist Departments in proper documentation for I9 compliance.
• Refer non-resident issues to the Office of International Students and Scholars as appropriate.
• Communicate any issues regarding incomplete information that would result in delay of payment to an employee or new hire to Human Resources and/or other departments.
• Attend to inquiries from employees, students or visitors about pay, deductions, taxes and treaties.
• Assist employees and University departments with the administration and interpretation of payroll policies, checks, reports and the completion of forms.
• Research paycheck discrepancies/questions.
• Assist in documentation of policies and procedures.
• Coordinate with other University departments concerning deduction transactions and balances (Including Development, Parking, Bursar, etc.).
• Support employee status inquiries from other departments as appropriate
• Receive, handle, or forward incoming calls and emails. 
• Prepare remittances associated with payroll deductions (for verification by others) and remits along with proper documentation.
• Reconcile remittance payments to General Ledger balance.
• Audit any discrepancies and review with supervisor.
• Run and review Pay Registers and Finance Balance.
• Calculate remittance amount.
• Reconcile Finance Fund and resolve any discrepancies.
• Prepare transmittal documents.
• End employee's job.
• Communicate adjustments with terminating employee and appropriate departments.
• Advise Payroll Manager of overpayment due to late paperwork.
• Update payroll jobs, deductions and fax assignment appointment forms to Human Resources.
• Adjust final paycheck as necessary.
• Calculate vacation payout.
• Contact departments on timely basis to maintain system integrity.

Qualifications:

• High school diploma or the equivalent combination of education and experience; Associates Degree in Business preferred
• Three to five years related work experience
• Excellent communication and interpersonal skills
