As our Administrative Coordinator, you'll be the strategic backbone of departmental operations, analyzing and streamlining processes to maximize efficiency across multiple programs and initiatives. Working with considerable autonomy under our department chairperson, you'll provide high-level administrative support that directly impacts student success and faculty productivity. This role demands sound judgment, initiative, and the ability to navigate complex, multi-faceted responsibilities while coordinating activities across diverse educational programs.

Position Number: S79850

This position is a Grade: 8 - 37.5 with an approximate salary range of $43,940-$52,740 and is subject to change based on experience, skills and qualifications.

Key Responsibilities:

• Prepare departmental reports, statistics, and specialized documentation; create presentations and visual data displays
• Develop and maintain work instructions, procedures, and departmental manuals
• Coordinate course scheduling across academic programs and university systems
• Manage department calendar, correspondence, deadlines, and electronic/paper filing systems
• Serve as primary liaison for adjunct faculty onboarding, including course management, payments, and logistics
Process scholarship, assistantship, and fellowship awards; maintain award logs and credit tracking
• Supervise student workers, wage employees, and volunteers
• Assist with student worker recruitment and selection
• Order supplies, arrange equipment repairs, and provide technical support
• Oversee key distribution, ID card inquiries, and building access authorization

Qualifications:

• High school diploma or GED required. Associate’s Degree preferred
• Five to eight years’ experience required (Three to five years’ experience may be considered if accompanied by the preferred education level)
• Excellent computer skills with experience using word processing, spreadsheet, database, presentation, and graphics software
• Excellent communication, interpersonal skills, and a high level of customer service required
• Strong analytical, decision making and problem-solving skills
• Ability to manage multiple tasks simultaneously
• Excellent organizational skills and time management skills
