The College of Education seeks a highly organized and collaborative Academic Coordinator to manage and collect required clearances for all education students while coordinating essential fieldwork and clinical placements in partnership with faculty and local school districts to meet degree and Pennsylvania Department of Education (PDE) certification requirements. This role is responsible for analyzing, organizing, and coordinating processes, procedures, and workflow to ensure efficiency in student support services, working under general supervision with duties reflecting a moderate level of complexity. The coordinator provides a wide range of administrative, academic, and student support services, serves as a key liaison among students, faculty, district partners, and the Admissions Office, and supports daily communications and admissions-related tasks to ensure a seamless experience from application through program completion.

This position is a Grade: 7 - 37.5 with an approximate salary range of $36,640-$43,980 and is subject to change based on experience, skills and qualifications.

Key Accountabilities:

• Manages student documentation, such as clearances, fieldwork placement sites, and other documentation related to PA Department of Education (e.g., professional development hours).
• Communicates with current students about processes related to fieldwork and clearances.
• Assists in completing and submitting all application admissions decisions - college level.
• Sends complex and/or high-profile mass mailings; as well as handles daily correspondences from COE Admissions email account.
• May update/maintain admissions and professional certification website pages.
• Responds to varied and often complex inquiries requiring a broad understanding of COE clearance requirements, fieldwork placements and policies and admissions inquiries.
• Assists with and resolves non-routine problems in a thorough and timely manner; uses discretion guided by policies and precedents; knows who to contact regarding non-routine COE issues.
• Communicates and supports faculty, students, and cooperating school personnel when questions or challenges arise with field placements or clearances.
• Works closely and assists the Director of Graduate Operations, Associate Director of Enrollment and Certification Coordinator.
• May assist with recruitment and selection of student workers or volunteers.
• Trains others regarding policies and procedures.

Qualifications:

• High School Diploma or GED required
• Three to five years of related work experience (less experienced applicants may be considered if accompanied by higher, relevant education)
• Strong computer skills with experience using word processing and spreadsheet software
• Excellent communication, interpersonal skills, and a high level of customer service required
• Excellent organizational and time management skills
• Some analytical and problem-solving skills
• Ability to manage multiple tasks simultaneously
