Executive & Legal Operations Assistant - Office of General Counsel

About the Opportunity

Join Lehigh University's Office of General Counsel as an Executive & Legal Operations Assistant and serve as the administrative partner to our Vice President, General Counsel & Secretary. This full-time position places you at the center of university legal operations, where you'll provide essential support to senior leadership and help drive important institutional initiatives. This role will serve as the primary connection between the General Counsel and senior leadership, ensuring seamless communication and operational excellence.

Position Number: S77840

This position is a Grade: 8 - 37.5 with an approximate salary range of $44,600-$53,530 and is subject to change based on experience, skills and qualifications.

Key Responsibilities

  • Acts as the primary high-level contact for the General Counsel, managing interactions with the Board of Trustees and University leadership with discretion and emotional intelligence.
  • Triages incoming inquiries and briefing materials, independently determining which matters require the General Counsel's immediate attention and which can be delegated.
  • Manages complex scheduling and logistics, proactively resolving conflicts and adapting to shifting priorities without direct supervision.
  • Oversees the preparation, quality control, and management of legal files, reports, and presentations to ensure executive-level standards.
  • Leads the implementation and management of departmental technology, including contract and matter management systems.
  • Serves as the lead for departmental finances, responsible for processing legal invoices, managing expense reports, and tracking monthly budget spending.
  •  Independently directs non-legal initiatives, such as university-wide policy rollouts, event planning, and general office operations and vendor relations.

Qualifications

  • Associates or Vocational/Technical Degree in Office Administration or similar; Bachelor's Degree preferred
  • Three to five years of related work experience
  • Professional administrative experience; experience supporting an executive in higher education or other complex organization preferred
  • An expert ability to manage multiple “moving parts” simultaneously without loss of detail or accuracy
  • The ability to proactively solve problems with minimal input or guidance
  • Exceptional interpersonal skills; the ability to handle highly sensitive information with absolute confidentiality
  • A “team-first” attitude with the ability to work closely with the GC as a trusted partner, and the interest in being a valued member of the OGC team
  • Comfort with or a willingness to engage with AI and tech systems and solutions, in addition to high-level competency with Microsoft Word, PowerPoint, etc.
