About the Position
The role of the Internship & Career Systems Coordinator (ICSC) within the Academic Advising and Career Education (AACE) unit is to ensure the functionality of student internship processes and web systems that facilitate internship engaged courses, activities, and partnerships. The position provides first-line user-support and maintaining communications with students, faculty, staff, and internship partners on navigating AACE’s systems. The ICSC maintains web systems and monitors student placements, projects/partners, and data configurations. The ICSC is also responsible for compiling, analyzing, and reporting on relevant data connected to student learning and internship impact. This staff position may take additional direction from the Internship Coordinator, Employer Relations Coordinator, and appropriate team members in AACE.
Responsibilities
Support student internship placements through the AACE’s web-based systems (CalStateS4):
- Assist with and respond to user side issues (students, faculty, staff, and employers/community partners).
- Monitor and provide first-line support for student internship placements registrations for a variety of courses and initiatives through web-based systems, primarily CalStateS4.
- Support internship partnerships by monitoring and facilitating internship agreements and risk management processes through web-based applications.
- Support student placements by monitoring and facilitating student waivers, form submissions, and surveys.
- Develop and maintain documentation, training materials, and communications with faculty, staff, students, and employers/community partners on internship processes and procedures.
Update and maintain the AACE’s web applications (CalStateS4):
- Test, verify, and monitor data and configurations for web-based systems, (primarily CalStateS4 and Handshake at time of position creation).
- Troubleshoot any system issues with campus Information Technology Services and CSU Chancellor’s Office as needed.
- Communicate with campus Information Technology Services, Enrollment Services, and other departments as needed to maintain data feeds.
- Engage in communications and training with the CSU Chancellor’s Office around system use, maintenance, and updates.
- Provide process and system recommendations to ensure ease of use for students, faculty, and partners.
Data Collection and Reporting:
- Gather, compile, and analyze data related to internships.
- Prepare data for presentations in graphic, tabular, pictorial, and written form.
- Prepare regular system and initiative reports.
Assist with other CSUEB internship activities:
- Collaborate within AACE and network across campus to implement appropriate internship and career technology operations.
- Collaborate with Director of Graduate Studies on internship placements.
- Support other AACE events and activities as needed.
Minimum Qualifications
This position requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
Required Qualifications
- Bachelor’s degree or the equivalent from an accredited four-year college or university in a related field and two years of experience in information technology.
- Knowledge of and skilled with web applications and media programs.
- Understanding of user processes, the creation of short videos, and written tutorials.
- Self-motivated with the ability to troubleshoot, problem-solve, and apply independent thinking, with the ability to analyze situations accurately and to adopt an effective course of action.
- Strong written and oral communication skills, with the ability to prepare clear and concise reports.
- Strong organizational and time-management skills, including the ability to prioritize and multitask.
- At ease facilitating presentations, discussions, and professional communication.
- Experience working with a diverse population of students, staff, faculty, and employers/community members.
Preferred Qualifications
- Experience with coordinating student service programs.
- Experience with higher education information technology platforms.
