PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $3,864.00 per month to $4,968.00 per month.

About the Position

This is grant funded, full-time, temporary position through June 30, 2026 with the possibility of reappointment.

The Cradle-to-Career Programs Coordinator at Hayward Promise Neighborhoods (HPN) plays a pivotal role in advancing cradle-to-career (C2C) initiatives designed to improve educational and life outcomes for children and youth in Hayward’s most underserved communities. As part of a U.S. Department of Education initiative, this position supports outreach and engagement efforts that foster college and career readiness through direct coordination with local schools, families, and community partners.

Reporting to the Executive Director and the Cradle-to-Career Programs and Evaluation Director, the Coordinator is responsible for planning and implementing community-based events such as back-to-school nights, college and career fairs, and financial aid workshops, as well as organizing and participating in outreach activities including tabling at school functions and city-sponsored events. The role also includes responding to inquiries from partner schools, promoting programs like Pioneers with Promise, and supporting college access programming such as campus tours.

The ideal candidate will bring strong project coordination skills, a passion for educational equity, and experience working in multilingual, diverse communities. This position requires exceptional interpersonal and communication skills, as well as the ability to work collaboratively across internal teams and external stakeholders to meet the objectives of the Promise Neighborhoods grant.

Responsibilities

School and Community Outreach:

  • Coordinate informational tables at school events, community resource fairs, and other relevant venues.
  • Create and distribute promotional digital and printed materials, brochures, and resources to increase community awareness through outreach events and social media.
  • Assist in planning outreach activities, such as workshops, school events, and community meetings.
  • Coordinate logistics, including venue arrangements, equipment setup, and material preparation.
  • Provide exceptional customer service to individuals participating in HPN programs.
  • Schedule and coordinate volunteer shifts, ensuring appropriate coverage for various events and programs as needed.
  • Maintain a volunteer database, updating contact information and availability as needed.
  • Respond promptly and professionally to inquiries from community members via phone, email, or in-person visits, providing accurate information and resource referral assistance.
  • Communicate with existing HPN partners and reach out to new/external partners to enhance support to families and students in need of vital services as needed.

Cradle-to-Career (C2C) Program Coordination: 

  • Collaborate with C2C team members, university and partnership offices, to coordinate school outreach activities including, local college tours, financial aid nights, local university admissions events, and family workshops.
  • Coordinate and maintain a C2C programming calendar, including Pioneers with Promise designated activities.
  • Assist the C2C team with monitoring and reporting on FAFSA completion, Chabot and CSUEB local admissions, CalKids savings accounts, and other grant priority data outcomes.
  • Participate and coordinate trainings on school-related initiatives.
  • Prepare and disseminate educational material to families and schools.
  • Assist C2C Program and Evaluation Director with convenings and HPN programmed activities including Words for Lunch, academic programs, and outreach activities.
  • Provide support for meetings and conventions, including scheduling, maintaining calendars, preparing agendas, and taking notes.

Other Duties:

  • Attend weekly Hayward Promise Neighborhoods staff meetings to inform, collaborate, and support initiative goals.
  • Assist in the coordination and execution of food distribution activities, including setup, distribution, and cleanup.
  • Support key HPN programs in the community, including, but not limited to annual convenings, summer programs, and occasional Saturday events.
  • Represent HPN in university programs and activities.

Minimum Qualifications

  • Completion of a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • A fully functional knowledge of and skill in standard office procedures and practices.
  • An ability to understand and operate in a variety of organizational structures.
  • Thorough knowledge of English grammar, spelling, and punctuation and ability to clearly communicate orally and in writing.
  • Knowledge of business mathematics beyond basic arithmetic.
  • Ability to use and quickly learn new office support technology systems and software packages.

Preferred Skills and Knowledge

  • Strong communication and interpersonal skills, with the ability to engage and connect with diverse community members, staff and partners.
  • Excellent organizational and multitasking abilities, with a keen eye for detail.
  • Demonstrated commitment to community engagement and social service.
  • Proficient computer skills, including Google Suite, Zoom, Microsoft Office Suite and internet research.
  • Ability to work independently and collaboratively as part of a team.
  • Flexibility to work evenings and weekends, as required by community events and activities.
  • Valid driver's license and reliable transportation for off-site events may be required.

Physical Requirements

  • Must be able to sit for extended periods of time.
  • Must be able to lift 10 lbs.
  • Visual acuity associated with concentrated computer use.

Condition(s) of Employment

Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment.  Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.

All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
