Job Summary

Under the direct supervision of the Department Specialist assists in an office of approximately  76 faculty; serves as one of the primary resources for information regarding Department policy and practice for faculty, students, and staff; maintains Department files and records; provides continuity in policy and procedures; and processes all assignments and paperwork.


Key Responsibilities

  • Scheduling and Registration: Updates department schedule in CMS.  Proofs schedule and confirms registration restrictions for special offerings for Honors and Teaching and Learning Communities (TLC).
  • Personnel: Assists Chair with hiring procedures, types and emails necessary documents and advertisements for faculty recruitment in accordance with Affirmative Action Requirements.
  • Departmental record-keeping, records processing, and written material preparation.
  • Budget and Fiscal Records: Provides support to Administrative Analyst/Specialist on all budget and fiscal duties. Produces reports on expenditures as required.
  • Understand, disseminate, and implement procedures, policies, and practices. Provides continuity of departmental procedures, policies and practices by providing information about policies and procedures.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,367 (Step #1) - $6,362 (Step #20) per month.

Knowledge, Skills, and Abilities

Ability to carry out professionally complex assignments and independently plan and develop sound approaches and solutions to meet department program, faculty and student needs. Knowledge of budget and fiscal resources, allocations, and accountability. Manage, plan and execute various projects with specific deadlines. Provide professional representation for the department to all constituencies. Develop and deliver essential information through written and oral interactions. Establish and maintain collaborative working relationships with program faculty academic departments, and the dean's office and a variety of offices and individuals on and off campus. Create and implement appropriate program/events that foster student, faculty, campus, and local community relations.

Working knowledge of Windows, Word, Word Press, adobe Acrobat Pro, email, spreadsheet, databases, Ad Astra, and CMS. Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."


Education and Experience

•Equivalent to five years of administrative support experience required.

•Bachelor's degree preferred.

•Academic department or program experience preferred.

• This position is the front office source of information - operational need requires a minimum of 4 days a week on campus.

Physical Summary

Sedentary work- Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).
