The Director of Schools invites suitable applicants for this temporary casual position as a Record Officer within the Information, Communications and Learning Technologies Team (ICLT).

ABOUT THE ROLE 

The Records Officer will be required to perform administrative tasks related to managing our digital documents. This includes:

  • Document Verification and Search: Accurately search within Content Manager (TRIM) to check if a file or record already exists. This is crucial to prevent duplication.
  • File creation: Establish and create new digital files/containers in Content Manager, strictly following established naming conventions. 
  • Document Capture and Registration: Correctly upload all electronic documents (including emails) into Content Manager, ensuring they are precisely linked to the appropriate file.
  • Metadata Accuracy: Ensure all required identifying information such as Record Type, Date and Security Classification, is accurately applied to every captured document. 
  • Titling Management: Review and apply the standardised titling rules to all new and existing documents for clarity, consistency, and efficient searching.
  • System Quality Control: Perform routine checks on records to ensure the integrity and consistency of the data entered into the system.

ABOUT YOU 

You will be successful in this role if you possess the following core abilities:

  • A proven capacity to perform repetitive data entry and document handling tasks consistently and without error to maintain the integrity of all records.
  • A clear understanding of the need to handle sensitive and confidential information in a discreet and appropriate manner, adhering to CEDoW policies and procedures.
  • Competent computer skills, including strong proficiency in the Microsoft Office Suite, particularly Excel.
  • Proven ability to manage a high volume of records and tasks, prioritise workload, and meet deadlines efficiently.
  • Effective verbal and written communication skills to collaborate with team members and understand recordkeeping procedures.
  • Willing to learn new systems and capable of precisely following instructions.
