The Coordinator, Events is responsible for the ongoing business development and delivery of internal and fee-for-service professional event and conference project management, along with the oversight of commercial hire and community use of University facilities held at the Melbourne Burwood Campus, Geelong Waterfront Campus and the Geelong Waurn Ponds Campus.

As the Coordinator, Events, you will:

  • Scope and project manage an annual program of events and coordinate the planning, organisation and implementation of local and international conferences, venue hirers and visitors to the university.
  • Project manage a range of corporate and complex fee-for-service events including financial planning and reconciliation, venue coordination, sourcing suppliers, risk assessments, contractor inductions, marketing and sponsorship procurement, delegate registrations, developing timelines, program management and staffing.
  • Provide business and operational oversight on the commercial use and hire of facilities across the Burwood and Geelong Campuses including timely quotations, coordination and induction of contractors, and client/supplier relations in line with University policies and relevant legislation.
  • Provide professional event support and advice during pre-planning and on the ground during events, including resolution of any issues, complaints and/or problems to ensure quality service delivery and customer satisfaction.
  • Maintain a strong knowledge of hybrid events and assist with the development and implementation of technology and virtual platforms to improve event delivery.
  • Based on annual benchmarking and an understanding of market demands, provide recommendations to the Specialist, Conferences and Events with regards to the marketing and fee structure of the University’s hired facilities and fee-for-service charges.
  • Support the Specialist, Conferences and Events with team development, ensuring staff and own adherence to University policies and procedures, including but not limited to those relating to equal opportunity, occupational health and safety and risk management.                                                                                                                                                                              

To be successful, you’ll have:

  • A Degree in event/project management with substantial subsequent relevant experience;
  • Extensive experience and management expertise in technical or administrative fields; or
  • An equivalent combination of relevant experience and/or education/training in the field of events/project management, marketing, or customer service.
  • Experience using Events management software and virtual platforms would be beneficial.
  • Experience using budgeting/financial management and/or invoicing systems would be beneficial.
