Job Summary/Basic Function: |
The Aquatics and Safety Coordinator is responsible for the daily management and supervision of the Aquatic Complex, aquatic programming, and safety education. This includes but is not limited to: programming, hiring, training, evaluation, and supervision of student and part-time employees, pool operations, and departmental safety education (CPR, First Aid, AED, and lifeguard training). Additionally, the Coordinator will assist the Assistant Director of Facilities and Aquatics with budgeting, purchasing, policies, and program safety and risk management protocols. This position works collaboratively with other units in the Division of Student Affairs and throughout the University to enhance the role of recreation in the lives of the Boise State community. The Aquatics and Safety Coordinator will report directly to the Assistant Director of Facilities and Aquatics for the Department of Campus Recreation.

Essential Functions: |
Key Responsibilities: 60% of time the Aquatics and Safety Coordinator must perform:
Staff Supervision
- Directly responsible for the hiring, disciplining, scheduling, training, performance evaluations, and day-to-day supervision of approximately 40 staff consisting of Lifeguards, American Red Cross Instructors, Swim Instructors, and an Aquatics Program Manager. Provide daily, primary instruction and development opportunities for student staff through on-going training, coaching, and performance evaluations.
- Create and monitor the When to Work (W2W) schedule, review employee shift trades, and approve employee time off requests. Review the W2W schedule weekly to ensure adequate staffing levels for the day-to-day operations of the Aquatics Complex as well as all special events.
- Approve bi-weekly payroll for all Aquatics staff and monitor reported time for accuracy.
- Schedule and lead weekly and monthly training and development meetings for the Aquatics staff.
Staff Development
- Develop, coordinate, and lead student development opportunities that focus on the NACE Career Readiness Competencies.
- Train, coach, and evaluate the Aquatics staff on methods to improve the customer experience and identify opportunities to improve the delivery of our customer service.
- Develop and coordinate staff appreciation initiatives in order to retain student employees and build team morale.
Fiscal Management
- Track and reconcile all expenses and revenue related to the Aquatics Program on a monthly basis.
- Monitor and maintain Google Drive accounts for the Aquatics Program.
- Assist in the annual budgeting process for Campus Recreation. This includes developing, forecasting, and reporting on revenues and expenses related to your administrative area.
- Total budgetary oversight is $150,000 within a $3 million budget.
Risk Management
- Responsible for maintaining a safe environment for individuals who participate in Campus Recreation facilities, programs, and services as well as staff members who deliver these student-centered experiences.
- Review and analyze injury/illness and incidents reports for concerning patterns, determine and implement solutions that impact multiple work teams within the department to remedy and/or prevent reoccurrence.
- Provide ongoing risk management training for the Aquatics staff in order to minimize risk, reduce loss, and ensure continuity in departmental business practices across all areas.
- Responsible for ensuring that all department staff members are CPR/First Aid/AED/Lifeguard certified and certifications are on-file and up to date.
- Conduct Aquatics Complex space inspections, risk management audits, and monitor equipment inventory to minimize loss.
- Directly responsible for regular inspections of AEDs, first aid supplies, and regular audits of staff training certifications and emergency response skills.
- Establish and maintain a collaborative relationship with Boise State Environmental Health Services in regards to pool safety and departmental risk management procedures for pool/spa water chemistry, blood-borne pathogens procedures and training.
- Assist with the annual review of the Department’s Emergency Action Plan.
Secondary Responsibilities: 35% of time the Aquatics and Safety Coordinator must perform:
Aquatics Complex Facility Operations
- Oversee the operations of the Aquatics Complex mechanical and pump functions, water chemistry, cleaning, and preventative maintenance.
- Serve as the main Campus Recreation contact to third-party service providers and suppliers for daily pool operations and maintenance.
- Formulate and implement pool operations policies and processes to ensure the safety of patrons utilizing the pool area.
- Serve as the main Campus Recreation contact for all Aquatics equipment purchases and ensure quality of equipment for general use by Aquatics Complex users. Maintain accurate, up-to-date inventory of all Aquatics equipment, research strategies to minimize loss, and follow-up with users on damaged equipment items.
- Develop and facilitate a daily, weekly, monthly and annual cleaning schedule for Aquatics Complex and all program specific equipment.
- Collaborate with Member Services Coordinator for Aquatics Complex facility reservations, groups, camps, and special events.
- Update the Campus Recreation website on a regular basis to notify patrons of upcoming events, facility closures, holiday closures, etc.
Aquatics Programs
- Create, manage, and supervise comprehensive aquatics and safety offerings including up to date programming for student and member engagement.
- Oversee aquatics based fee-for-service classes and events, (i.e., swim lessons, lifeguard training, safety certification courses, etc.).
- Collaborate and coordinate outreach sessions with on-campus partners such as Housing and Residence Life, Student Involvement, Admissions, Fraternities and Sororities, ASBSU, New Student Programs, Intensive English Program, etc. to inform and educate students about Campus Recreation facilities, programs, and services.
- Directly responsible for Aquatics program and facility assessment including the coordination and compilation of statistical data including Aquatics revenue and expenses, Aquatics program retention, and Aquatics program and facility satisfaction.
- Develop Aquatics program assessment tools, i.e. surveys, feedback forms, etc. to gather and analyze membership feedback. Recommend and implement Aquatics program improvement efforts and strategies to increase Aquatics program retention rates.
- Ensure the highest possible level of customer service in order to provide exceptional experiences.
Technology
- Schedule and lead training workshops on a variety of Campus Recreation software applications including, but not limited to, Innosoft Fusion software (Fusion), Connect 2 Concepts (C2C), When to Work (W2W), Qualtrics, Handshake, and Bronco Hub.
- Directly oversee the Aquatics Complex portions of the department's member management and facilities scheduling software, Fusion. Assist with identifying and troubleshooting common technical issues and provide technical support to achieve desired system performance.
Other Duties: 5% of time the Aquatics and Safety Coordinator must perform:
Department Leadership and Support
- In conjunction with the Campus Recreation professional staff; participate, lead, and/or coordinate departmental initiatives including Fall Orientation, Rec Fest, etc.
- Provide departmental and divisional support by participating in various hiring committees and Student Affairs events and initiatives. Attend professional conferences, workshops, and/or seminars to continue professional growth and development.
- Serve on Campus Recreation work teams including Risk Management and Student Employee Experience.
- Work closely with other departmental staff to schedule facilities and avoid scheduling conflicts.
- Assist other staff members with special events and programs as requested by the supervisor.

Preferred Qualifications:
|
- Master’s Degree in Recreation, Sport Management, Athletic Administration, Business Administration, Kinesiology, or related field
- Direct personnel management experience of student employee teams: recruiting, hiring, training, schedulin, evaluating, and disciplining
- Budget development and budget management experience
- Two years of work experience in aquatic operations and programming in a commercial aquatics center.
- Experience managing a robust swim instructing program for various skill levels.
- Experience in oral and written communication such as teaching:
- Developing/delivering presentation content/materials; writing reports, proposals, professional correspondence, manuals, etc.
- Experience working with a recreation-based membership management software application platform (Innosoft Fusion preferred)
- Experience with facility management software (Connect 2 Concepts preferred)
- Current American Red Cross Lifeguard Training and Lifeguard Instructor (LGI) certifications
- Current American Red Cross Lifeguard Instructor Trainer (LGIT) certification
- Certified Pool Operator (CPO) or Aquatic Facility Operation (AFO) certification or direct experience to acquire
- Engagement in NIRSA, AOAP, or other recreation professional associations
- Experience programming or service delivery for diverse community populations
