Job Summary/Basic Function:

The Outdoor Program Coordinator will be responsible for the administration and management of Outdoor Rental Center and assist in the development of the trips program. This includes but is not limited to: outdoor rental center operations, inventory management, and equipment maintenance; program design, development and implementation; staff hiring, training, and supervision of student employees; and education delivery to students, staff, and Rec Center members. Major responsibilities include managing the day-to-day operations of a large, complex outdoor rental center that has a robust whitewater and skiing/snowboarding services. Assisting with coordinating and leading outdoor trips (day trips, overnights, and extended trips), and the ongoing training, implementation, and assessment of risk management protocols. The Outdoor Program Coordinator will report directly to the Assistant Director, Outdoor Program for the Department of Campus Recreation.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

60% of Time the Outdoor Program Coordinator must perform:

Staff Supervision

  • Directly responsible for the hiring, scheduling, training, performance evaluations, and day-to-day supervision of approximately (15-20) student staff: (12-15) Rental Center Technicians and (2) Rental Center Managers.
  • Create and monitor the When to Work (W2W) schedule, review employee shift trades, and approve employee time off requests. Review the W2W schedule weekly to ensure adequate staffing levels for the day-to-day operations of the Outdoor Program as well as all special events.  
  • Approve weekly payroll for Rental Center Technicians and Program Managers and monitor reported time for accuracy.

Staff Development

  • Develop, coordinate, and lead student development opportunities that focus on the growth and development of student employability skill sets.
  • Train, mentor, and evaluate the Outdoor Program team on methods to improve the customer experience and identify opportunities to improve the delivery of our customer service.
  • Educate, mentor, and evaluate the Outdoor Program staff on methods and best practices to manage high risk environments, ensure emotional and physical safety of patrons, develop decision making skills, sound technical skills specific to activity, communication and feedback skills, and social and cultural awareness.

Fiscal Management

  • Budget, track, and reconcile all expenses related to the Outdoor Program on a monthly basis.
  • Assist in processing and managing travel authorizations, expense reports, and cash advancements for all approximately 60 outdoor trips per year.
  • Assist in the annual budgeting process for Campus Recreation. This includes developing, forecasting, and reporting on revenues and expenses related to your administrative area.
  • Total budgetary oversight is $135,000 within a $3 million budget.

Risk Management

  • Responsible for maintaining a safe environment for individuals who participate in Campus Recreation facilities, programs, and services as well as staff members who deliver these student-centered experiences.
  • Responsible for ensuring that all student staff members are WFR/WFA CPR/First Aid/AED Certified and certifications are on-file and up to date.
  • Oversee Outdoor Program incident and accident and critical incident reporting, including staff training and development surrounding incidents and accidents, sharing reports with appropriate staff members, follow up, and assessment as necessary.
  • Conduct outdoor space inspections, risk management audits, and monitor outdoor gear and equipment inventory to minimize loss and ensure proper function.
  • Coordinate, review and assess all risk management planning, emergency response, and administration for the Outdoor Program.

35% of Time the Outdoor Program Coordinator must perform:

Rental Center Operations

  • Manage the day-to-day operations of Campus Recreation’s Outdoor Rental Center which includes student staff scheduling, equipment purchasing, inventory management, and equipment maintenance.
  • Develop and maintain documentation on standard operating procedures, standard business practices, and related training materials for rental center operations.
  • Review, update, and maintain an electronic inventory of rental equipment via RentMy software and ensure equipment reservations and equipment returns are processed with a high-degree of accuracy.
  • Develop and utilize a variety of assessment tools and methods to better understand student needs and interests as well as measure progress towards achieving program objectives. Report on results, including strategies for program improvement.
  • Review, update, and maintain Outdoor Program web pages and assist with Outdoor Program marketing and communications efforts.
  • Monitor and remain current on outdoor program industry trends and recommend purchases that will support the growth and sustainability of the Outdoor Rental Center.
  • Maintain an organized, safe, and clean working environment in all Outdoor Rental Center equipment spaces and storage spaces.
  • Plan and implement an annual Gear Sale event including marketing to Treasure Valley community, adhering to university policies, setup auction capabilities for large ticket items, and other event needs.

Outdoor Trips

  • Assist in the day-to-day operations of the Outdoor Trip Program which includes planning and coordinating outdoor trips, student staff training and technical skill development, and leading a variety of outdoor trips including, but not limited to; rafting, backpacking, hiking, climbing, and other outdoor activities. Assist in evaluating student trip leader performance and providing appropriate feedback.
  • Under the direction of the Assistant Director, Outdoor Program, assist in the planning, design, and implementation of a robust Outdoor Leadership Training Program focused on outdoor leadership, facilitation, group dynamics, and outdoor technical skill development. This program consists of, but is not limited to: 7-day Foundations of Outdoor Leadership, 10-day Raft Guide School, 5-day Winter Expedition, and 3-day Group Facilitation Training.
  • In conjunction with the Assistant Director, Outdoor Program, assist in the design, development, and delivery of custom trip programs and custom team building facilitation.
  • Assist in maintaining clear and up-to-date risk management policies and protocols for the Outdoor Trip Program and revise documentation accordingly.
  • Assist in monitoring and maintaining all outdoor trip related gear and equipment for participant satisfaction and safety, including periodic maintenance schedules, risk management inspections, equipment rotation, and scheduled replacement.
  • Remain on-call for all Outdoor Trips and be in direct contact with staff during emergencies.
    • Coordinator evacuation procedures and protocols
    • Work closely with Search and Rescue, First Responders and National Land Agencies

Technology

  • Schedule and lead training workshops on a variety of Campus Recreation software applications including, but not limited to, Rentmy, Innosoft Fusion software (Fusion), Connect 2 Concepts (C2C), When to Work (W2W), Qualtrics, Handshake, and Oracle Peoplesoft.
  • Directly oversee the daily management and operations of the Outdoor Rental Center’s inventory management software, RentMy. Assist with identifying and troubleshooting common technical issues and provide technical support to achieve desired system performance.
  • Develop department standard operating procedures and training materials for RentMy inventory management software.

5% of Time the Outdoor Program Coordinator must perform:

Department Leadership and Support

  • In conjunction with the Campus Recreation professional staff; participate, lead, and/or coordinate Departmental initiatives including Fall Orientation, Bronco Welcome, Homecoming, etc.
  • Provide Departmental and Divisional support by participating in various hiring committees and Student Affairs events and initiatives. Attend professional conferences, workshops, and/or seminars to continue professional growth and development.
  • Work closely with other departmental staff to schedule facilities and avoid scheduling conflicts.
  • Assist other staff members with special events and programs as requested by the supervisor.
  • Outreach and partnership with to community outside University for rental capacity
Knowledge, Skills, Abilities:
  • The Outdoor Program Coordinator must possess strong organizational and time management skills, an attention to detail, and the ability to work in a self-directed manner to manage complex operations, equipment inventories, equipment maintenance and various staff duties and assignments.
  • The Outdoor Program Coordinator has demonstrated interpersonal skills in delivering positive and meaningful experiences in a leadership capacity through outdoor trips and experiential learning based programs.
  • The Outdoor Program Coordinator must possess technical outdoor competency and proven experience in coordinating and leading outdoor trips varying from 1 to 10 days in length.
  • The Outdoor Program Coordinator must possess the ability to apply critical and creative thinking skills to make effective proactive decisions.
  • The Outdoor Program Coordinator must possess the ability to make accurate assessments and provide feedback of other staff and participants.
  • The Outdoor Program Coordinator must possess the physical ability to perform strenuous and outdoor educational activities in remote and rugged mountains or water based environments.
  • The Outdoor Program Coordinator must show passion for serving others with the ability and willingness to facilitate opportunities to a wide variety of customers, colleagues, and personnel.
Minimum Qualifications:

Bachelor’s Degree in Degree in Recreation, Outdoor Education, Kinesiology, or related field.

  • Experience in similar type of work: 1 year or 2 years as a Graduate Assistant
  • Experience in same type of work: 1 year or 2 years as a Graduate Assistant

Preferred Qualifications:

  • Prefer Master’s Degree in Recreation, Education, Outdoor Education, Kinesiology, or related field
  • Direct personnel management experience of student employee teams: recruiting, hiring, training, scheduling, evaluating, and disciplining
  • Budget development and budget management experience
  • Two years of experience managing operations of an outdoor rental center in higher education or equivalent work environment
  • Two years of experience leading outdoor trip programs, specifically river related trips, in higher education or equivalent work environment (i.e. NOLS, Outward Bound)
  • Current Wilderness First Responder [WFR] or Wilderness First Aid [WFA] certification.
  • Two years of experience designing and executing staff trainings for outdoor adventure based programs in higher education or equivalent work environment (i.e. NOLS, Outward Bound)
  • Experience in oral and written communication such as teaching:
    • Developing/delivering presentation content/materials; writing reports, proposals, professional correspondence, manuals, etc.
  • Experience with Rec management software (e.g. Fusion, RentMy, WhenToWork, etc.)
Salary and Benefits:
