Job Summary/Basic Function:

The Alumni Engagement and Events Manager will serve as a member of the Alumni Relations team with responsibilities for supporting the staff with all event details including research, logistics, technical support, and communication. This position will work closely with alumni staff, executive leadership, vendors, and partners across the university and deliver a continuous value proposition for alumni to support and extend the mission of Boise State University.

Department Overview:

A nonprofit Idaho organization, the Boise State University Foundation was established in 1964 for the benefit of Boise State University. We work to secure philanthropic support for the university by developing and nurturing relationships with our alumni and friends and stewarding gifts made to support Boise State. The Foundation works closely with university leadership, the Boise State University Alumni Association, and the Bronco Athletic Association.

Mission: To build a greater Boise State University, we provide fundraising leadership and service across the university and partner with donors and alumni to inspire private support.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees. Typically hold a Bachelor’s Degree and 2 years of professional experience or equivalent relevant experience.

Essential Functions:

60% of the time this position must: 

  • Support Alumni staff with all alumni event logistics and details based on their program priorities.
  • Conduct and report research for alumni events such as researching venues, vendors, cities, demographic regions, and resources.
  • Negotiate vendor services contracts for best pricing and coordinate fulfillment.
  • Create and coordinate content for event communication, such as develop content for invitations, newsletters, emails, event protocol outlines and social media. Assist with proofing internal and external event communication and marketing collateral.
  • Contribute to creative briefs, marketing plans, and other guiding documents that set the goals and objectives for each event.
  • Provide technical support for events such as creating invitations and registration pages in Raiser’s Edge, NXT or similar Manage relationship with Foundation data managers as related to database event module and event list queries.
  • Coordinate event details with campus Event Services, Food services, Parking, Security, Facilities and Maintenance and Risk Management.
  • Manage set up, tear down, staffing, and logistics for events, includes packing and unpacking/shipping event supplies for away events including football tailgate parties.
  • Manage budgets based on cost/revenue analysis; coordinate reservations, track invoices and payment processing.
  • Recruit and organize staffing and volunteers for assigned events.
  • Facilitate partnerships with key departments across campus, including but not limited to: Event Services, Food services, Parking, Security, Photo Services, Facilities and Maintenance, Risk Management, Procurement and Vendor Services, Athletics, Bronco Athletic Association and the colleges. Serve as the primary liaison between the Alumni Relations team and college-specific departments and units to foster strong partnerships and enhance alumni engagement initiatives.

35% of the time this position must: 

  • Provide guidance and resources to college departments and units for planning and executing alumni engagement strategies, ensuring alignment with the Boise State University Foundation’s engagement goals.
  • Track and report on the impact of college-specific alumni events, sharing insights to improve future programming and strengthen relationships. Maintain accurate records of volunteer involvement and engagement metrics.
  • Represent Office of Alumni Relations/Alumni Association at events and on assigned committees.

5% of the time this position must: 

  • Perform other duties as assigned. 

Knowledge, Skills, Abilities:

  • Ability to promote high-quality university and division events.
  • Experience in event planning and production with demonstrated results.
  • Must be able to work independently, make decisions, and problem solve.
  • Understand and appreciate the goals of alumni relations.
  • Ability to work and excel in a team environment.
  • Detail oriented with exceptional organizational skills and ability to balance multiple tasks, constituencies, timelines, and the ability to work under pressure.
  • Project management experience.
  • Exemplary writing, proofreading, and communication skills.
  • Experience with marketing best practices, familiarity with a variety of social media platforms.
  • Computer literacy with database experience; Raiser’s Edge experience a plus.
  • Proven track record of providing high quality customer service.
  • Experience with quantitative and qualitative data collection and assessment.
  • Experience with managing budgets.
  • Ability to collaborate.
  • Demonstrated track record of success in relationship building.
  • Knowledge of the internet and on-line technology.
  • Ability to negotiate contracts and fulfillment of vendor services.
  • Knowledge of best marketing practices for events.
  • Ability to work outdoors, after hours, and some weekends and holidays for events.

Minimum Qualifications:

Bachelor’s Degree and 2 years experience or equivalent.

Preferred Qualifications:

Preferred direct experience with higher education/alumni relations, event planning experience.

Salary and Benefits:
