About the Role

We’re looking for an experienced and customer-focused Administrator to join our Bulk Logistics team at Aurizon, supporting the smooth and efficient operation of our Malcolm terminal. This is a FIFO role, reporting to the Site Superintendent, where you’ll be the go-to person for keeping things organised, connected, and running like clockwork.

In this role, you’ll:

  • Keep the office running smoothly — from diary and travel bookings to PPE orders, records, and file management.
  • Set up supplier contracts, manage spreadsheets, and process invoices.
  • Submit timesheets to payroll on behalf of workers.
  • Coordinate vehicle servicing and repairs, and reconcile fuel and consumable usage.
  • Make sure staff are fully inducted for customer sites, and keep stock levels in check through regular inventory counts.
  • Track and report on online training requirements for the team.
  • Organise repairs and maintenance for plant and equipment, whether routine or urgent.
  • Coordinate meetings, video conferencing, and functions — from room bookings to agendas, catering, and minutes.

About You
You’re organised, proactive, and confident juggling a variety of tasks. You know how to keep operations ticking along without missing the details. Ideally, you’ll bring:

  • Strong computer skills, especially Microsoft Office and SAP.
  • At least 3 years of administrative experience (preferred).
  • Excellent communication skills — written, verbal, and interpersonal.
  • Strong organisational, problem-solving, and decision-making skills.
  • An eye for process improvements that make everyone’s life easier.
  • Experience in rail, logistics, or mining (highly regarded, but not essential).
