The Opportunity
Are you a highly organised and proactive professional with a passion for providing first-class administrative and executive support? Do you want to be part of a team whose research has impact and makes a difference? The Monash University Accident Research Centre (MUARC), Victoria’s peak safety science and injury prevention research agency, is seeking an exceptional Executive Officer to join our Centre Support team.

Key Responsibilities:
- Executive Support: Facilitate communication, manage calendars and travel, coordinate meetings, and produce high-quality documents.
- Research Administration: Support research projects, process expenses, coordinate contract legal review and signing, project milestone monitoring and invoicing, prepare agendas, and take minutes.
- Office Operations: Manage supplies, organise venues, onboard staff, and ensure health and safety measures are up to date through serving as deputy safety officer.
- Stakeholder Liaison: Act as a conduit between senior managers, stakeholders, colleagues, and clients.
- Office Culture and Experience: Be the friendly and professional first point of contact for staff, students, and stakeholders, contributing to a welcoming environment and supporting an inclusive and collaborative workplace culture.
What We’re Looking For:
- Education and Experience: A degree in a relevant field or equivalent experience.
- Administrative Excellence: Strong skills in taking minutes, managing confidential information, maintaining records and end-to-end research administration.
- Organisational Skills: Ability to prioritise tasks, meet deadlines, and anticipate future requirements.
- Communication Skills: Excellent written and verbal communication, with a welcoming presence for staff, students and visitors to the Centre.
- Tech Savvy: Proficiency in Microsoft Office and preferably familiarity with University platforms like LawVu, Pure, Coupa, and Concur.
- An Enthusiastic Learner: An eagerness to learn new systems, improve processes and proactively engage with new ideas.
