Position Function:
To assist in maintaining a general accounting system for a division, department, or other separately budgeted unit by performing a variety of accounting duties which require a range of skills and knowledge of organizational policies and procedures.

Essential Duties and Responsibilities:
The following examples are intended as illustrations only of the various types of duties assigned in positions allocated to this classification. The absence of specific statements of duties does not exclude those tasks from the position if the work is similar, related, or a logical assignment of the position.
1. Reconcile and assist with fiscal administration for the department/unit, including but not limited to budgets, funding, grants, payroll, employment, travel, and/or purchasing; may assist with fiscal planning, including participating in seeking alternate sources of funding.
2. Coordinates collection of and participates in the preparation of operating reports using word processing, spreadsheet, and database software.
3. Maintain an efficient system of receiving, posting, and depositing revenue and receiving, verifying, posting, and processing vouchers for payment of goods and services.
4. Prepare requisitions for purchases; communicate with vendors for prices, bids, and other information.
5. Perform property control functions, including equipment location, tagging, data entry, database management, and other related clerical and property management duties.
6. Coordinate, review, draft, process, monitor, and manage contractual arrangements, contracts, agreements, memorandums of understandings, leases, sub-contracts, letters of intent, and various legal documents required for securing services and/or products.
7. Prepare journal entries to record income, expenditures, interest, fund transfers, encumbrances, etc.
8. Prepare various accounting schedules, statements, and reports for monthly and annual reporting.
9. Reconcile division financial records with university accounting records.
10. Maintain files and records in support of accounting data.
11. Gathers data for budget preparation and inventory reports, prepares or assists in the preparation of the annual budget, and procures all supplies, furniture, and office equipment.

Minimum Qualifications:
Education: High School Diploma.
Experience: Four years of related experience to the duties and responsibilities specified.
Substitution: An equivalent combination of related education and related experience may be considered for this position.
Preferred Qualifications:
1. Experience working with grant funded programs.
2. Experience working with Banner.
3. Ability to manage/coordinate multiple tasks.
4. Well-developed interpersonal and teamwork skills.
5. Bachelor’s degree in business administration, accounting, or related field.
6. Experience related to property management, acquisition, disposition and reporting.
Knowledge, Skills, and Abilities:
• Knowledge of procedures governing property management, acquisition, disposition and reporting.
• Ability to use computers and computer software.
• Knowledge of budget and accounting practices.
Working Conditions and Physical Effort
1. Requires outside regular hours and ability to travel.
2. Job frequently requires walking, sitting, reaching, talking, hearing, handling objects with hands. Exposure to elements such as heat, cold, dirt, dust, etc.
3. Job requires standing, stooping/kneeling/crouching/ crawling, and lifting up to 40 pounds.
4. Vision requirements: Ability to see information in print and/or electronically.
